Responsibilities- Serve as Executive Assistant (15% of time): prepare correspondence and follow‑up, handle inquiries, schedule meetings, manage calendar, prioritize multiple projects, review documents and reports, handle company credit cards, compile reports for senior leadership, prepare meeting agendas and minutes, manage discreet handling of departmental business.
- Handle Commercial Property Administration (50% of time): set up RFPs, change orders, contract templates, coordinate drawings/proposals, create budgets and job cost details, maintain TI/Capital Improvement documentation, issue/collect contracts and purchase orders, manage warranties and close‑out documents, assist in annual budgets, forecasts, monthly reports and variance reports, reconcile accounts receivable and payable, collect rent, accruals, pay expenses, maintain CMAS estimates, prepare related documentation, respond to tenant requests, coordinate maintenance vendors, maintain certificates of insurance, file lease and property documents, forward correspondence to tenants and vendors, liaise with Property Management, Leasing, Construction, draft and review contracts, schedule and coordinate meetings and tenant events, take and organize meeting minutes.
- Act as Commercial Leasing Coordinator (35% of time): primary point of contact for tenant inquiries on lease terms, billing and leasing matters; address tenant concerns and coordinate with relevant departments; organize and manage internal and external meetings; draft leases and modifications from templates; maintain accurate lease database and tenant information; manage industry association sponsor ships; prepare and organize marketing materials; coordinate photographers;
book travel; plan and organize internal and external events.
- Experience supporting senior management/executive level is an asset.
- Bachelor’s degree in Business Administration, Real Estate or related field preferred.
- Strong knowledge of MS Office (Word, Excel, PowerPoint, Outlook, SharePoint).
- Upbeat, positive, outgoing and personable with ability to relate to diverse groups.
- Demonstrated commitment to timely completion of projects.
- Excellent verbal, written and keyboard skills and organizational skills.
- Expert‑level written and verbal communication.
- Experience in Real Estate, Finance, Construction, Property Management, Leasing or Marketing environment is a major asset.
- Self‑motivated and able to work both in a team and independently.
