About the Opportunity

An organization in Downtown Vancouver is seeking a detail-oriented Administrative Assistant to support its Legal Services team during a period of increased workload. This opportunity has been created to help address a significant documentation backlog and will play an important role in ensuring records are completed accurately, efficiently, and in accordance with established procedures.

Working closely with Legal Counsel and Paralegals, you will contribute to a highly collaborative team focused on maintaining the integrity and accuracy of confidential records. This role is ideal for an administrative professional who enjoys process-driven work, thrives in a high-volume environment, and takes pride in producing accurate documentation.

Your Responsibilities
  • You’ll retrieve and verify information from internal systems while ensuring accuracy and consistency throughout all records
  • You’ll review lists of newly received complaints, then utilize standardized Word templates and internal databases to prepare required documentation
  • You’ll accurately transfer and populate information between databases, templates, and supporting systems while ensuring all records are complete and error-free
  • You’ll manage a high volume of documentation while maintaining exceptional attention to detail
  • You’ll process straightforward records efficiently, while applying the same level of accuracy and diligence to more complex files that require additional documentation review
  • You’ll focus on the accurate compilation and entry of information into standardized records and templates rather than conducting legal analysis or interpretation of the content
  • You’ll organize, save, and file completed records within SharePoint and designated document repositories according to established procedures
  • You’ll support backlog reduction efforts while continuing to process newly generated documentation requests
  • You’ll work closely with Paralegals and Legal Counsel to ensure completed records meet documentation standards and organizational requirements
Skills and Qualifications
  • 2–3+ years of administrative, records management, legal administration, or other documentation-focused experience
  • Advanced Microsoft Word skills, including working within templates and maintaining document formatting
  • Demonstrated experience processing high volumes of documentation with a strong focus on accuracy
  • Exceptional attention to detail and ability to work with confidential and sensitive information
  • Experience using databases, document management systems, and Microsoft Office applications
  • Strong organizational skills and ability to follow established procedures independently
  • Legal, regulatory, or healthcare experience is considered an asset
