- Provide high-level executive administrative support, including complex calendar management, scheduling, and prioritization.
- Coordinate domestic and international travel arrangements and detailed itineraries.
- Prepare and organize meetings, including agendas, materials, and minutes.
- Draft, edit, and manage executive correspondence and presentations.
- Support expense reporting, invoicing, budget tracking, and other financial administration.
- Act as a central point of contact for internal and external stakeholders.
- Support project coordination activities for the executive and business unit.
- Manage information flow and ensure timely follow-ups on key deliverables.
- Anticipate executive needs and proactively resolve scheduling or operational conflicts.
- Maintain confidentiality and handle sensitive information with discretion.
- Represent the executive professionally with senior leaders and stakeholders.
- Post-secondary education in Business Administration or a related field, or equivalent experience.
- 5+ years of Executive Assistant experience, including 3+ years supporting C-suite or senior executives.
- Strong experience with complex calendar, travel, and meeting coordination.
- Proven ability in executive-level communication, including drafting and editing high-quality materials.
- Experience with financial administration (expenses, invoicing, budgeting support).
- Strong organizational, coordination, and prioritization skills.
- High level of professionalism, discretion, and sound judgment.
- Ability to anticipate needs and operate proactively in a fast-paced environment.
- Advanced proficiency in MS Office and collaboration/virtual meeting tools.
- Project coordination experience;
Asana experience considered a strong asset.
$33.00 –$38.00/hour T4
