The Senior Operations Coordinator, Regional Communities serves as the operational hub for Federation's team of Community Connectors working throughout British Columbia. Acting as the central point of coordination, this role ensures Connectors have the tools, information, and internal support they need to successfully serve their communities.
Working closely with Federation’s operation and service providing departments, the Senior Operations Coordinator develops efficient systems, manages budgets and data, coordinates cross-departmental initiatives, and oversees the administrative planning of Federation's annual Regional Communities Summit.
This role is ideal for someone who enjoys building systems, solving operational challenges, and keeping many moving pieces running smoothly.
Responsibilities include but are not limited to:Connector Operations & Coordination:
- Serve as the primary operational contact for Community Connectors across British Columbia.
- Coordinate requests between Connectors and internal operation departments (such as finance and marketing), ensuring timely support and follow-through.
- Develop, document, and continually improve workflows, data, templates, and operating procedures.
- Maintain a centralized library of resources, tools, and reference materials.
- Support onboarding of new Connectors and provide ongoing administrative guidance.
- Track Connector budgets and expenses, ensuring accuracy and alignment with approved allocations.
- Prepare regular reports and dashboards on activities, community engagement, budgets, and outcomes.
- Maintain accurate records within Microsoft Dynamics CRM and ensure data quality.
- Support annual budgeting and financial reporting in collaboration with Finance.
- Lead the administrative planning and coordination of Federation's annual Regional Communities Summit, including logistics, scheduling, materials, registrations, vendor coordination, and budget tracking.
- Coordinate additional meetings, training sessions, and provincial initiatives throughout the year.
- Coordinate marketing and communications requests from Connectors, ensuring they’re submitted through the appropriate intake process, required information is complete, timelines are realistic, and projects are tracked through completion.
- Maintain a monthly calendar of regional community events and dates.
- Collect photos, videos, testimonials, and post-event information from regional communities to help the Communications & Marketing team with storytelling and overall communications and impact reporting.
- Ensure Connectors have access to the latest brand assets, templates, and guidelines.
- Identify operational challenges and recommend practical solutions.
- Improve internal processes to create greater consistency, efficiency, and collaboration across Federation.
- Support special projects and organizational initiatives as required.
We're looking for someone who combines exceptional organizational skills with strong judgment, initiative, and a passion for helping others succeed.
You will ideally bring:
- 3–5 years of experience in operations, program coordination, or administrative management, ideally within a nonprofit or community-focused organization.
- Outstanding organizational and time management skills with the ability to manage multiple priorities simultaneously.
- Experience coordinating across multiple teams or stakeholders.
- Strong financial and administrative skills, including budget tracking and expense reconciliation.
- Experience organizing conferences, events, or large meetings.
- Experience using CRM systems (Microsoft Dynamics preferred).
- Excellent written and verbal communication skills.
- Strong digital literacy, including Microsoft Office, Google Workspace, and AI productivity tools. Experience with Canva, Adobe, or similar software is an asset.
- A continuous improvement mindset with the ability to identify opportunities to streamline processes.
