Reporting to the Manager, Office Administration, the Supervisor, Office Administration is essential in the organization and day-to-day operations of the Vancouver Head office. This position is responsible for supervising the administrative team, as well as for providing general office support to the entire office and administrative support to a few senior staff members. The ideal candidate will be a proactive multi-tasker who is organized, efficient, and highly effective, working independently and within a team environment.

Gold’s Corporate Office in Vancouver, Canada
- Provide support to admin team to ensure they have the necessary skills to perform their job functions effectively;
- Supervise the work of admin team to ensure adherence to quality standards, deadlines, and proper procedures;
- Create and implement processes to improve efficiency and effectiveness of administration functions;
- Maintain departmental documentation, including instructions and procedures;
- Carry out tasks, projects, and other assignments delegated by the Manager, Office Administration, and provide appropriate direction and oversight to ensure their timely and effective completion;
- Backup support for other administrative roles, as required; and
- Perform other duties as required in support of Company objectives.
- Restock kitchen and supply rooms throughout the day and order supplies as needed;
- Maintain a tidy office environment including common areas, kitchens and meeting rooms;
- Liaise with building management and security regarding tenant and facility-related issues;
- Maintain office equipment and coordinate repairs and servicing as required;
- Coordinate maintenance schedules and service providers for building systems, ensuring inspections, preventive maintenance, testing, and repairs are completed in a timely manner and that related records are maintained;
- Liaise with vendors and maintain positive working relationships;
- Coordinate incoming and outgoing mail and courier shipments, including receiving, recording, and distributing items, preparing waybills and customs documentation, tracking deliveries, and resolving shipment issues as needed;
- Coordinate office access, including the issuance and tracking of security cards, visitor access, and employee access changes;
- Prepare, edit, format, and process correspondence and documents, including emails, forms, letters, and memos;
- Prepare, organize, and maintain electronic and physical filing systems and other documentation as required;
- Assist with photocopying, scanning, binding, and other document production tasks;
- Assist with maintaining intranet content;
- Coordinate the preparation, retrieval, and storage of off-site records;
- Support on-site meetings and events, including meeting room bookings, set-up, catering, and clean-up;
- Coordinate and deliver training for new Office Assistants and Receptionists, ensuring consistent understanding of office procedures, administrative processes, systems, and service standards; and
- Serve as a member of the corporate office Emergency Response team.
- Receive and direct calls, conveying exemplary phone etiquette;
- Greet guests and employees in a friendly and helpful manner;
- Track attendance as required for evacuation purposes;
- Manage meeting room calendar; and
- Provide reception relief/back-up.
- High school diploma or equivalent completion of secondary education;
- Minimum three (3) years’ experience in office administration;
- Minimum two (2) years’ experience in a supervisory role, coordinating the work of others in a large office environment;
- Intermediate user in Microsoft Office products (Word, Excel, and Outlook);
