Program Administrative and Communications Assistant

- Maintain and update website content
- Help draft engaging, accessible promotional, print, and digital content for a range of audiences
- Support editing and proofreading stories, articles, and communications materials
- Ensure materials follow organizational guidelines for accessibility, inclusivity, and plain-language writing
- Support interviews for articles and develop stories highlighting the organization's impact
- Assist in coordinating and processing the bursary and scholarship program
- Help prepare administrative paperwork for disbursing bursary, scholarship, and honoraria funds
- Support correspondence with volunteers, award recipients, and partner-agency colleagues
- Draft minutes for occasional meetings for supervisor review and circulation
- Track website analytics and performance and provide data for reports
- Assist with print production and distribution coordination
- Follow up with partners, tracking materials and evaluation metrics
- Perform other administrative, communications, and coordination duties as required
- Grade 12
- Office Administration Certificate or Communications Marketing Certificate
- Recent, related experience of one year or an equivalent combination of education, training, and experience
- Experience writing, editing, and posting public-facing content in a non-profit environment is a strong asset
- Experience of procedures involved in administration of grants, awards or bursaries is a strong asset
- Legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations
- Excellent interpersonal, written, and verbal communication skills
- Excellent project management, time management, and organizational skills, including attention to detail and ability to work remotely, meet deadlines, and solve problems creatively
- Interest, knowledge, or experience working in health and social service sectors, ideally in the non-profit sector
- Interest, knowledge, or experience working with concepts of equity, diversity, and cultural safety
- Ability to manage schedules and coordinate multiple tasks simultaneously
- Familiarity and comfort with MS Office platforms and confidence learning new software or apps, including website content management systems
- Ability to work remotely with team members
- Lived experience related to mental health and/or substance use problems is considered an asset
Demonstrates strong writing, editing, and content management skills, with a focus on accessibility and inclusivity in communications. Proficient in project management and administrative coordination within a non-profit environment, with a commitment to equity and diversity.
