POSITION SUMMARY

The Vancouver office is seeking an experienced and service-oriented Office Services Team Lead to join its busy and fast-paced Office Services team. This is a hands‑on working lead role that combines day‑to‑day operational responsibilities with team coordination and support.

The Office Services Team Lead is responsible for coordinating the daily workflow of the team and ensuring that high‑quality, timely and responsive support is provided to lawyers and staff. This role has a strong focus on document production and related services, including coordinating print, copy, scanning, binding and other document service requests, while also supporting the broader operational needs of the office.

The Team Lead will both work alongside and oversee the Office Services team, providing day‑to‑day direction, assigning and prioritizing work, training and mentoring team members, and stepping in to complete work as required. This role requires someone with strong office services experience who understands the demands of a professional services environment and can effectively balance competing priorities while maintaining a high level of client service.

The position reports to the Director of Finance and Operations and is scheduled to work 9:00 am to 5:00 pm, Monday to Friday in the office.

KEY RESPONSIBILITIES
  • Provide day‑to‑day coordination and supervision of the Office Services team, assigning and prioritizing work based on deadlines, workload, and team capacity.
  • Work alongside the team to complete Office Services requests, providing hands‑on support during busy periods and ensuring work is completed accurately, efficiently, and on time.
  • Coordinate and oversee document reproduction services, including high‑volume printing, copying, scanning, binding, finishing, document preparation, and related requests.
  • Address issues as they arise, resolving matters in the moment where appropriate, providing timely and constructive feedback to team members, and escalating issues to the appropriate level when additional support, guidance, or intervention is required.
  • Review and prioritize incoming requests, ensuring urgent and time‑sensitive work is appropriately assigned and followed through to completion.
  • Serve as a resource to lawyers, legal assistants, and staff regarding document services, printing, courier, postage, and other Office Services requirements.
  • Train, coach, mentor, onboard, and cross‑train team members on processes, equipment, systems, service standards, and best practices.
  • Monitor team workload and coordinate coverage, including vacation, absences, and periods of increased demand, to maintain service levels and deadlines.
  • Provide troubleshooting support for Office Services equipment and coordinate servicing, repairs, and technical escalations with vendors or appropriate support teams.
