Full‑time Continuing Contract
This role is a central pillar of data integrity within the Admissions & Enrolment team. The Coordinator ensures all information regarding prospective families, current students, and alumnae is accurate, complete, and actionable. In collaboration with multiple teams across the school, the Coordinator supports data integrity, analysis, reporting, and privacy compliance.
Key Responsibilities- Data Integrity & Auditing:
Conduct regular audits of parent and student records to ensure accurate demographic data and household relationships. - Admissions Pipeline Oversight:
Resolve missing information in the enrollment system (OnBoard) and ensure integration with the Student Information System (MySchool). - Database Maintenance & Reporting:
Eliminate duplicates, manage data entry, tracking, and reporting within the CRM. - Tracking of all incoming inquiries, campus visits, applications, and enrollment forms.
- Collaborate with the Data & Systems Analyst to facilitate data sharing and synchronization across platforms.
- Track and audit Return to School Questionnaires, proactively contacting parents/guardians to resolve incomplete or missing information.
- Collaborate on cross‑functional school initiatives and special projects as they arise.
- Survey Analytics:
Lead the processing and analysis of annual parent, student, and alumni surveys to identify trends. - Enrollment Reporting:
Assist in creating weekly and seasonal reports tracking application volume, yield rates, and attrition. - Data Visualization:
Produce clear charts and summaries that inform leadership decisions. - Provide front‑desk support as a friendly first point of contact for guests entering the Admissions Office.
- Privacy & Compliance:
Align all data handling and storage practices with privacy policies and provincial PIPA regulations. - Support admissions recruitment events, student assessments (including SSAT), and onboarding events.
- 1–3 years of experience in a related role.
- Experience in a K‑12 independent school environment is an asset.
- Outstanding attention to detail and a “detective” mindset.
- Strong Excel skills (VLOOKUPs, pivot tables, etc.) and comfort working with large datasets.
- Experience with school‑specific CRMs (Blackbaud, Veracross, or Salesforce) is a significant asset.
- Analytical thinking with the ability to interpret data stories.
- Discretion and professionalism when handling sensitive family and student information.
- Team player who values different perspectives and collaborates constructively.
- Adaptable and willing to grow from foundational data tasks to complex analytical projects.
- Excellent verbal and written communication skills and a friendly demeanor.

August 2026 - Working hours:
Monday‑Friday, 8:00 a.m.–4:30 p.m. (unpaid one‑hour lunch break) - Annual salary: $60,000 – $68,000 (based on experience)
