$60K–$70K CAD. Compensation will be determined based on skills, experience, and the value the candidate brings to the role. Additionally, our company offers a performance-based bonus structure.
We build secure AI tools that reduce the time healthcare providers spend on administration, so they can spend more of it on their patients. Our flagship product is Spotlight, the first voice-driven EHR for iPad, automating clinical and administrative workflows for physicians, and we are SOC 2 Type I certified, because healthcare, trust and security go hand-in-hand with one another.
What We Offer- Full benefits package including dental, vision, life insurance, and extended practitioner coverage
- Commuter expense coverage to our Vancouver office
- Daily team lunches: whether we order in or go out, no need to worry about packing a lunch
- Monthly health & wellness allowance to support your existing habits and encourage you to try new studios, hobbies and fitness classes
- Team outings: from restaurant nights to movie premieres, we're always up to try something new (and we'd love to hear your ideas)
We're going to be honest with you, because that's how we operate.
A large part of this role is executive support. You will be the CEO's right hand: managing his calendar, handling correspondence, coordinating travel, and making sure every day runs without friction. That is the foundation of this job, and it matters enormously. The CEO should never have to think twice about whether something has been handled.
But that is not the whole picture.
You will also sit in on client meetings, investor conversations, and the internal discussions where real business decisions get made. You will learn how healthcare technology gets sold, how partnerships are built, and how a small team punches above its weight.
That exposure is not accidental. It is deliberate. We want someone who pays attention, absorbs what they are learning, and grows with us. Where that growth leads, whether it is into account management, business development, a more senior operational role, or something we have not thought of yet, is yours for the taking. We have a track record of promoting from within and investing in people who show up with initiative and curiosity.
We will be straightforward about one more thing: we were not entirely sure what to title this role. "Executive Coordinator" felt closest, but it does not fully capture the learning and growth opportunity that comes with it. If you have a better title in mind, we are genuinely open to hearing it. We are less interested in what the role is called and more interested in finding the right person to fill it.
What we are really looking for is someone who can support, learn from, and grow with our CEO.
Core Responsibilities Executive Support & Day-to-Day Operations- Manage the CEO's calendar with precision: scheduling meetings, protecting deep focus time, and resolving conflicts before they become problems
- Monitor and triage the CEO's inbox, flagging urgent items and drafting responses where appropriate
- Manage professional correspondence with clients, partners and investors on behalf of the CEO
- Coordinate travel arrangements, accommodations and itineraries
- Handle expense tracking and reimbursement submissions
- Manage personal and professional appointments and ad hoc administrative tasks: parking passes, bookings, errands, and the operational details that free up the CEO's bandwidth
- Note-taking, memo-writing and proofreading documents for internal and external stakeholders
- Sit in on client, contract and vendor meetings, investor conversations and internal strategy discussions
- Build a working understanding of how our product is sold, how partnerships are formed, and how the business operates
- Over time, take on increasing responsibility in areas aligned with your strengths and interests, whether that is client-facing work, business development, operations, or something else entirely
- 2+ years of experience in an operational support role
- Exceptional organizational skills with a demonstrated ability to build and maintain personal administrative systems. You have a method that works for you, and you can speak to it
- A proactive mindset
- Strong written and verbal communication skills, with confidence liaising with senior stakeholders, clients and partners
- High attention to detail in everything from calendar management to travel logistics
- Instinct for curiosity: you want to understand the business, not just support it
- Comfortable wearing many hats and adapting quickly in a fast-moving, in-person startup environment
