Duties and Responsibilities- Coordinates large-scale human resources and professional development events, including finding and booking appropriate locations, communicating location needs to venues and following up to ensure needs are met, booking catered meals for large groups (200 or more), ordering and organizing resources as requested. Events include but are not limited to:
- Teacher of the Year - selection process and recognition event
- Support Employee of the Year - selection process and recognition event
- Community Celebration of Excellence
- Celebration of Excellence
- New Teacher Induction
- New Teacher Conventions
- Retirement
- Years of Service Recognition
- Coordinates the Teacher of the Year and the Support Employee of the Year selection process, including creating timelines, facilitating the selection process, and serving as the primary contact for building/department-based questions.
- Coordinates CPR trainings to include communication with trainers regarding dates, updating the website with dates and times once a month, handling payment for courses, providing proof of individuals' certification to HR.
- Plans, initiates, and carries to completion clerical and administrative support activities.
- Maintains financial records on incoming correspondence and action documents, and follows up on work in progress to ensure timely response or action.
- Submits requisitions as required based on procurement amount, issuing purchase orders to vendors, and tracking spending based on approved purchase orders
- Monitors purchases and coordinate submission of invoices and/or material receipts to Finance to ensure timely payments to vendors.
- Enters budget transfers and monitoring available funds.
- Processes travel paperwork for professional development activities, ensuring adherence to all policies and procedures.
- Coordinates payments for conferences related to education and professional development, maintaining accurate records and adhering to budget guidelines.
- Administers the online training system.
- Works closely with a variety of departments to ensure accurate and timely processing of paperwork.
- Performs a variety of office-related tasks accurately.
- Manages multiple tasks with many interruptions.
- Utilizes and inputs information in a variety of databases.
- Handles confidential documents professionally.
- Possesses physical dexterity to perform assigned duties.
Performs related work as required.
Job Requirements- Associate's degree or equivalent experience required.
- At least two years of previous experience with event planning and budget management required.
- Excellent customer service and communication skills.
- Strong attention to detail.
- Excellent organizational skills and the ability to manage multiple events at one time.
- Ability to establish and maintain effective working relationships with other employees and the general public.
- Knowledge of standard office practices and equipment.
- Exhibits correct use of English grammar, spelling, and punctuation in a variety of communication modes.
- Ability to maintain confidentiality of Human Resources information and personnel records.
