Position: People & Office Ops Coordinator

At Klue, We’re Building the Future of Competitive Intelligence

đź‘‹ The People Team is hiring, come work with us!

The People & Office Ops Coordinator plays a key role in keeping our People team, and Klue, running smoothly. This role is based out of Vancouver. Our goal is to create an employee experience that’s seamless, connected, and true to who we are as a company. This role helps make that happen.

You’ll work closely with the Sr. People Business Partner & VP People to support the day‑to‑day operations that keep our team effective – from onboarding new Kluebees to coordinating events and maintaining accurate data. You’ll also get hands‑on exposure to the projects and programs that shape our culture and employee experience.

This is a role for someone who’s organized, curious, and eager to learn how great People teams operate. You’ll balance execution with learning, jumping in where help is needed while building a solid foundation in HR, operations, and employee experience.

What’s In It for You

This role is both a learning opportunity and a chance to make an impact. You’ll gain hands‑on experience across the People function, build confidence in HR fundamentals, and help shape employee experience at Klue.

What You’ll Do
  • Employee Onboarding & Offboarding:
Own the end‑to‑end onboarding and offboarding experience, ensuring smooth starts and thoughtful exits. You’ll manage HRIS setup, documentation, scheduling, and coordination with Managers, Payroll, and IT. You’ll prepare standard People documentation and serve as a first point of contact for employee questions, escalating when needed.
  • Office, Employee Experience, IT Operations:
Run day‑to‑day office and basic IT operations to keep the workplace organized, welcoming, and functional. You’ll manage supplies, space needs, and coordinate company and team events, support internal communications and culture moments, and oversee laptop setup, access provisioning, and asset tracking.
  • People Operations & Admin Support:
Keep People systems accurate and running smoothly. You’ll maintain employee records in the HRIS, draft People documentation for review, run reports, support process improvements, and assist the Talent Acquisition team as needed.
  • Projects & Continuous Improvement:
Support People team projects such as engagement surveys, policy updates, and performance programs. You’ll help create and maintain internal resources, proactively identify inefficiencies, and implement better ways of working.
What Success Looks Like
  • Kluebees feel supported, informed, and well‑equipped throughout their lifecycle at Klue.
  • People, office, and IT operations just work. They’re smooth, organized, and full of energy.
  • Our HRIS and docs are buttoned up, reliable and accurate.
  • Managers get timely, clear support without needing to chase.
  • You anticipate needs, solve problems independently, and continuously improve how things run.
  • You’re learning fast, asking smart questions, and building confidence in your People skills.
What You Bring Must Haves
  • Experience managing projects, keeping things running behind the scenes, or planning events (school, work, or volunteer).
  • You’re organized, detail‑oriented, and can juggle multiple workflows without dropping balls.
  • You have a knack for process improvement, organization, or adding a bit of creativity to your work. You’re curious about new ways AI can support your work.
  • You’re confident in owning operational processes and following through to completion.
  • You care about people. How they work, how they grow, and how to make their experience better.
  • You handle confidential information with integrity and discretion.
  • You have strong communication judgment: you know how to listen, how to respond, and how to tailor your message to different people and situations.
  • You pick up new tools quickly. You’re also comfortable using AI and automation to improve efficiency, accuracy, or consistency in your work.
Nice‑to‑Haves
  • Experience in People Ops or Coordination, office operations, or similar roles.
  • Exposure to HRIS, ATS, payroll, benefits, or similar systems.
