Your Role in Supporting Our Members:

As a Talent Acquisition Administrative Coordinator
, you will play a critical role in supporting the end-to-end recruitment lifecycle by partnering with Talent Acquisition Specialists and hiring managers to ensure a seamless hiring experience. You will proactively manage recruitment administration, support hiring managers and candidates throughout the recruitment journey, and act as a subject matter expert in recruitment systems. This role is ideal for a highly organized, proactive professional who thrives in a fast-paced environment and is passionate about delivering exceptional candidate and client experiences while continuously improving processes.

This is a Full-Time, Temporary role based at our Vancity head office and will report directly to the Senior
Manager, Talent Acquisition
. While this position provides a hybrid work arrangement, you will be expected to be on-site for events and business demands.

How You'll Make an Impact:

  • Supporting the full recruitment lifecycle by coordinating job postings, offer letters, background checks, and new hire documentation
  • Managing recruitment documentation and maintaining accurate, up-to-date policies, procedures, templates, and training materials
  • Acting as the first point of contact for hiring leaders and maintaining recruitment request intake processes to ensure accuracy and completeness
  • Creating and updating marketable job postings to attract high-quality talent
  • Supporting candidates through the recruitment process and delivering exceptional candidate experience
  • Partnering with internal stakeholders such as HR Consultants, People Services, and FP&A teams to ensure smooth onboarding and internal transitions
  • Managing high-volume recruitment projects and ensuring timelines are met for hiring initiatives
  • Producing and delivering recruitment metrics and reporting to support business decision-making
  • Researching and recommending process improvements, including automation opportunities to improve efficiency
  • Providing guidance to leaders on recruitment processes, systems (ATS/HRIS), and related policies and procedures
  • What You’ll Bring to the Team:

  • 2–4 years of experience in recruitment coordination, HR administration, or talent acquisition support
  • Experience supporting full-cycle recruitment processes, including job postings, offers, and onboarding administration
  • Strong knowledge of Applicant Tracking Systems (ATS) and HRIS platforms, with the ability to support and educate others
  • Demonstrated experience managing high-volume administrative tasks and multiple priorities simultaneously
  • Excellent organizational skills with high attention to detail and accuracy
  • Strong communication and interpersonal skills, with the ability to support both candidates and internal stakeholders
  • Knowledge of HR policies, employment practices, and recruitment processes
  • Extra Skills That Set You Apart:

  • Post-secondary education in Human Resources, Business Administration, or a related field
  • Experience supporting large-scale or high-volume recruitment projects
  • Familiarity with recruitment reporting and metrics analysis
  • Exposure to process improvement or automation initiatives
