Position: Talent & Recruitment Coordinator

Location: Hybrid, with 2-3 days a week in office (in Mt Pleasant, Vancouver)

Salary: $55,000 - $60,000 based on experience, + bonus

Extras: Extended health benefits after probation, 3 weeks paid vacation prorated to your start date, 36 hour work week with half day Fridays year round!

The Talent & Recruitment Coordinator plays a critical role in helping Shop Makers attract, hire, and retain exceptional team members across our growing retail network and support teams.

This role is responsible for managing the full-cycle recruitment process, creating an outstanding candidate experience, and ensuring hiring practices are efficient, equitable, and aligned with company values. Success in this role comes from building strong talent pipelines, reducing time-to-fill for key positions, improving hiring processes, and ensuring every hiring decision supports the long-term success of our teams.

The ideal candidate is highly organized, data-driven, and passionate about connecting great people with meaningful opportunities. They are comfortable managing multiple openings simultaneously, partnering with hiring managers, and continuously improving recruitment processes as the company grows.

Key Responsibilities Talent Acquisition & Recruitment
  • Manage full-cycle recruitment for retail, leadership, and support office positions across Shop Makers (in Canada and the U.S).
  • Partner with hiring managers to understand hiring needs, role requirements, and ideal candidate profiles.
  • Develop and maintain candidate pipelines through job boards, networking, referrals, community outreach, and proactive sourcing.
  • Conduct resume screening, phone interviews, and candidate assessments to identify qualified talent.
  • Coordinate and schedule interviews, ensuring a positive and professional candidate experience throughout the hiring process.
  • Support offer preparation, candidate communication, and pre-employment processes.
  • Build and maintain talent pools for frequently hired positions to reduce future time-to-fill.
Hiring Process Optimization
  • Identify opportunities to streamline and improve recruitment workflows, tools, templates, and communication processes.
  • Maintain consistent interview guides, evaluation tools, and hiring practices across the organization.
  • Ensure recruitment processes are scalable and support the company's continued growth.
  • Recommend improvements to reduce hiring bottlenecks and increase recruitment efficiency.
  • Support the implementation and ongoing optimization of recruitment systems and technology.
Equitable Hiring & Compliance
  • Promote fair, consistent, and inclusive hiring practices across all stages of recruitment.
  • Ensure hiring decisions are based on job-related criteria and aligned with company policies.
  • Support hiring managers in applying structured interview and evaluation practices.
  • Maintain recruitment documentation and records in accordance with company standards and applicable legislation.
  • Monitor recruitment processes for consistency and identify opportunities to improve equity and accessibility.
Recruitment Analytics & Reporting
  • Track and maintain accurate recruitment data, including candidate pipelines, hiring activity, time-to-fill, source effectiveness, and hiring outcomes.
  • Prepare regular recruitment reports and dashboards for leadership.
  • Analyze recruitment trends and provide recommendations to improve hiring performance.
  • Monitor key metrics including time-to-hire, offer acceptance rates, candidate conversion rates, and recruitment source effectiveness.
  • Use data to identify hiring challenges and proactively recommend solutions.
