The AIBC is seeking a Manager, Office of the CEO to join our dedicated and high-performing team. Reporting to the Chief Executive Officer & Registrar, this permanent, full-time position is an exciting opportunity for a senior administrative professional who is passionate about governance, organizational effectiveness, and continuous improvement. The successful candidate will provide comprehensive and strategic organizational, project and administrative support to the CEO, the Board, advisory groups and committees, and the management team.
This role is well suited for a collaborative and highly organized professional who excels at balancing strategic priorities with hands‑on execution and is motivated by contributing to the regulation of the profession in the public interest.
The AIBC is a professional regulator with the mandate to regulate the profession of architecture in British Columbia in the interest of the public. The AIBC was established in 1920 by provincial statute, and since 2023, has governed the profession under the authority of Professional Governance Act. The AIBC provides flexible working arrangements and has adopted a hybrid working environment where most staff split their time between the AIBC offices and working remotely.

As a member of the management team, the Manager, Office of the CEO provides a key role organizationally by supporting a wide scope of initiatives and AIBC department activities. This position manages initiatives related to strategic plan implementation, business continuity, enterprise risk management, privacy management, process improvement, and information management. The Manager is accountable for planning and executing cross‑functional corporate initiatives on behalf of the CEO which includes the planning and design of processes required for project initiation, planning, implementation, and evaluation.
Thecore responsibilities include:
- Identify and prioritize items for the attention of the CEO, and handle matters expeditiously, proactively and follow through until completion
- Act as the primary contact for various organizational events and meetings hosted by or organized by AIBC Board or the Office of the CEO including all meeting logistics
- Maintain detailed knowledge of the governance processes and protocols of the Institute, including in‑depth knowledge of bylaws, Board policies, and other relevant statutory requirements
- Handle requests which require detailed knowledge of department policies and procedures, and demonstrate ability to communicate the executives' requirements and expectations
- Execute all meetings, planning sessions, and the annual planning retreat for the Board and assigned advisory groups and committees, including meeting notifications and invites, agenda and package materials, remote attendee support, transcription of meeting minutes, and other logistics as required
- Manage action items from Board meetings, including updates to policy and workplans, executing or delegating operational actions assigned by the CEO, and supporting Board Members in the execution of assigned actions
- Oversee and administer the Annual General Meeting and Board election processes, respecting all related statutory and regulatory requirements
- Working with the Manager, Regulatory Compliance and General Counsel, oversee the implementation and ongoing monitoring of a Privacy Management Program in compliance with the Freedom of Information and Protection of Privacy Act
