Purpose of the Role:

The Internal Communications Specialist plays a key role in keeping employees informed, connected, and engaged. Reporting to the VP, Strategic Operations, this role executes clear, consistent communication across multiple channels, linking employees to the organization’s strategy, culture, and priorities. The Internal Communications Specialist partners closely with leaders and cross-functional teams to plan, write, and distribute timely, audience-focused messages aligned with our values and brand voice.

Core Responsibilities:

  • Manage day-to-day content updates across the SharePoint intranet for all departments, keeping information current, well-organized, and easy for employees to access.
  • Develop practical resources, such as guides, FAQs, and reference materials, in response to common employee questions.
  • Maintain communication templates, asset libraries, and brand-aligned standards; lead periodic reviews for consistency.
  • Conduct routine content audits, ensuring accuracy and relevance; archive or refresh items as needed.
  • Maintain an editorial calendar and publishing schedules to ensure consistency in messaging and coordination of content across channels.
  • Monitor and analyze content analytics and feedback (surveys, polls, and informal channels) to identify trends, gaps, and opportunities; prepare summaries of key insights and recommendations for continuous improvement.
  • Draft, edit, and publish clear and engaging content including announcements, emails, talking points, FAQs, and articles.
  • Translate communication strategies into multi-channel execution with attention to detail and quality.
  • Support all-staff meetings, town halls, and communication-related events by coordinating logistics and drafting scripts, speaker briefs, presentation materials, and post-event summaries.
  • Work with creative partners or develop visual assets to support messaging.
  • Track timelines, deliverables, and performance metrics; compile post-campaign analysis and insights.
  • Maintain an organized repository of templates, assets, and campaign materials.
  • Partner with department leads to gather updates, resources, and news for distribution.
  • Liaise with key stakeholders across the business to align and coordinate messaging.
  • Support employee experience communications including onboarding, benefits, recognition, and culture initiatives.
  • Provide communication guidance and coaching to colleagues; facilitate training or best-practice sessions as needed.

    Qualifications:

  • 5+ years of experience in internal communications, corporate communications, or a related field.
  • Exceptional written communication skills with the ability to adapt tone and style for different audiences.
  • Hands-on experience managing intranet platforms;
    SharePoint expertise is strongly preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Creative thinking and a passion for engaging employees through meaningful communications.
  • Proficiency with Microsoft Office and comfort learning new collaboration and communication tools.
  • Design sensibility or experience with visual content tools (e.g., Canva, Adobe Creative Suite) is an asset.
