About the RoleWe’re seeking a highly organized, proactive, and resourceful Executive Assistant to provide strategic administrative support to the CEO and the executive team. There's a significant opportunity for impact. Our company is currently over 20 people and expects a significant headcount growth in the next few quarters, and this role will be instrumental in supporting as we scale. You’ll help establish the operational rhythms, communication flows, and organizational systems that will support our next stage of growth.
This role is ideal for someone who thrives in a dynamic environment, takes pride in anticipating needs before they arise, and enjoys being a trusted partner to leadership. Your work will enable our executives to focus on high‑impact strategic priorities, knowing the details are in expert hands.
Key Responsibilities- Manage complex calendars, scheduling, and meeting coordination across multiple time zones
- Handle travel arrangements, itineraries, and logistics with attention to detail
- Prepare and edit correspondence, presentations, and reports
- Support executive communications by drafting emails and managing follow‑ups
- Coordinate internal and external meetings, including agenda preparation and note‑taking
- Maintain confidentiality and handle sensitive information with discretion
- Manage expense reports, vendor invoices, and other administrative documentation
- Assist with special projects, off‑sites, and events as needed
- Being flexible to assist the team with other projects that are usually not in your regular realm of work
This role is onsite requiring 5 days a week in the office.
- 5+ years of experience supporting senior executives, ideally in a fast‑paced, high‑growth environment
- Exceptional organizational and time management skills; able to juggle multiple priorities with grace
- Strong written and verbal communication skills
- High level of discretion, professionalism, and judgment
- Proficiency with Microsoft Teams, Office 365, Slack, and Zoom
- Comfortable working independently and proactively solving problems
- Experience in an early‑stage startup
- Technical experience
- Event planning or project management experience
