Role OverviewCAP Concrete Coatings is hiring a Full-Time Administrative Scheduler in Vancouver, WA. This onsite role keeps our schedule and customer records accurate by booking and confirming in-home presentations, coordinating timing with customers and internal teams, and keeping project details moving without missed steps.
Compensation: $17.50-$25.00 per hour (DOE)
What you'll do:
- Handle inbound calls with clear, professional customer service
- Schedule, confirm, and adjust appointments and job timelines
- Maintain notes, follow-ups, and customer records in Builder Prime CRM and other tools
- Use Constant Contact and Home Depot Service Connect to support communication and coordination
- Work closely with sales and field operations to keep handoffs clean
What you need:
- Exceptional phone communication and customer service skills
- Strong organizational abilities with a keen attention to detail
- Proficiency in CRM software (Builder Prime, Constant Contact, Home Depot Service Connect)
- Excellent relationship-building and coordination skills
- Knowledge of concrete coatings, polyurea, or polyaspartic products (Penntek experience a plus)
- Valid driver's license
- High school diploma or equivalent

Daily WorkflowAt 8:00 AM you open Builder Prime CRM, scan new messages, and confirm the day's appointments. You'll spend the morning returning calls, updating customer notes, and sending reminders through Microsoft or Google Workspace. After lunch, you work your follow-up queue, adjust time slots when plans change, and keep communication moving with Constant Contact. Before 5:00 PM, you double-check tomorrow's schedule and flag anything that needs a quick team handoff.
