This is a FULL TIME, IN OFFICE position. We are a boutique real estate office comprised of dedicated professionals who value collaboration, reliability, and work-life balance. As our business continues to grow, we are seeking a highly organized and proactive Admin Assistant/Conveyancer to play a pivotal role in supporting our day-to-day operations. In this role, you will be the backbone of our team, ensuring seamless operations behind the scenes while supporting both agents and clients throughout the transaction process.

You will have the autonomy to manage your responsibilities independently, take initiative, and contribute to enhancing our systems and workflows. Our team leader cultivates a culture of trust and accountability, offering guidance and support while allowing you to take ownership of your role.

Responsibilities
  • Manage office supplies and inventory, placing orders as needed
  • Schedule meetings, appointments, and maintain calendars for agents
  • Organize and maintain both electronic and physical filing systems
  • Assist in preparing reports, presentations, documents, and marketing materials
  • Handle conveyancing tasks, including coordinating with lawyers, notaries, mortgage brokers, and clients to ensure all documentation and conditions are met
  • Maintain a clean and presentable office, boardroom, and kitchen
  • Liaise with vendors, service providers, and team members
  • Manage the CRM system to ensure accurate and up-to-date records
  • Coordinate all steps of a home listing or purchase
  • Organize and support buyer tours
  • Follow up with leads and showings
  • Assist in planning and executing events
Qualifications
  • Valid BC driver’s license and reliable vehicle
  • Excellent interpersonal skills with a demonstrated ability to work effectively within a team
  • Strong written communication skills
  • Proficient with technology and office software
  • Ability to complete detailed work quickly and accurately
  • Comfortable in a dynamic role where no task is too big or too small
  • Proactive mindset with a drive to improve client experiences and internal processes: “How can I make things better?”
  • Skilled at prioritizing and managing multiple responsibilities
  • Maintains confidentiality while assisting clients and team members with problem-solving
  • Strong analytical ability to retain key facts, important information, and directives

Compensation

$55,000 - $65,000+ yearly PLUS Bonus
