Department: Secondary

Hours: 8 Hours per day (7:30 a.m. – 4:00 p.m. including 30‑minute unpaid lunch); 216 days per year

Position Duration: Permanent

Classification Group: Secretarial Class II

Salary: $31.84 to $38.20 per hour

Job Summary

The Activities/Athletics Secretary, assigned to the student activity office, is responsible for supporting the athletic department, student body, and staff. This includes maintaining athletic budgets, coordinating event logistics, and providing administrative support for all school‑wide athletic activities.

Essential Functions
  • Work closely with building administrators in the daily administration and operation of the building and/or department.
  • Communicate effectively with a variety of persons (students, parents, staff, and patrons) and/or agencies to provide information, ascertain and prioritize needs, and furnish assistance as appropriate.
  • Monitor assigned district activities and/or program components to ensure compliance with financial, legal, and/or administrative requirements.
  • Process a variety of documents, mail, and materials to disseminate information to appropriate parties; type correspondence, reports, and forms as needed.
  • Prepare and maintain a variety of records, reports, files, and written materials to meet state, federal, and/or district requirements, and maintain an up‑to‑date reference and audit trail for compliance.
  • Oversee athletic budget and reconcile athletic, general, and Associated Student Body (ASB) accounts.
  • Process purchase orders, invoices, supply and equipment requisitions, warehouse requisitions, travel authorizations, claims for expenses, and procurement card purchases for ASB and activity purchases.
  • Prepare cash boxes for all functions under the Associated Student Body (ASB).
  • Collect and receive all incoming monies, maintain proper records of fundraising and resale activities, and deposit funds into the bank.
  • Manage reimbursements for ASB, athletic, and district funds.
  • Clear all students participating in athletics, check eligibility, and maintain sports physicals.
  • Prepare paperwork for athletic events and tournaments.
  • Prepare supply requisitions (e.g., first aid and athletic equipment), inventory, and store equipment after receipt.
  • Prepare supporting data for transportation involving activities and athletic events, work with coaches to arrange transportation and reschedule events as necessary.
  • Control sale, refunds, and track all student body cards, shop cards, books, fees, Driver Ed, yearbooks, etc.
  • Prepare awards for all athletic events and award records for individual students.
  • Process payroll paperwork for officials for all home athletic events.
  • Process student insurance, accident, and Labor & Industries reports.
  • Compose, prepare, and distribute various correspondence for the Athletic Director and other administrators and staff.
  • Distribute sport schedules to school and media.

Minimum Qualifications
  • Typing/keyboarding of 50 wpm.
  • A minimum of two years of experience in a related field or equivalent training.
  • Experience with Associated Student Body (ASB) policies and procedures (preferred).
  • Accounting experience (preferred).
  • Working knowledge and experience with WESPaC and InTouch receipting (preferred).
  • Good mathematical aptitude.
  • Ability to acquire a working understanding of account codes.
