- Salary: $31.84 to $38.20 Per Hour / Per Negotiated
The Activities/Athletics Secretary position is assigned to the student activity office and is responsible for the needs of the athletic department, student body, and staff. The position maintains the Activities and Athletic Budgets.
Essential Functions- Work closely with the building administrator(s) in the daily administration and operation of the building and/or department.
- Communicate effectively with students, parents, staff, and patrons for the purpose of providing information, ascertaining and prioritizing needs, and furnishing assistance as appropriate.
- Monitor assigned district activities and/or program components to ensure compliance with financial, legal, and administrative requirements.
- Process a variety of documents, mail and materials for dissemination to appropriate parties. Type correspondence, reports and forms as needed.
- Prepare and maintain records, reports, files and written materials to meet state, federal and district requirements and provide an up‑to‑date reference and audit trail for compliance.
- Oversee the Athletic budget and reconcile Athletic, General, and Associated Student Body (ASB) accounts.
- Process purchase orders, invoices, supply and equipment requisitions, warehouse requisitions, travel authorizations, expense claims, and procurement card purchases for ASB and activity purchases.
- Prepare cash boxes for all ASB functions.
- Collect and receive all incoming monies, maintain proper records of fundraising and resale activities, and deposit funds into the bank.
- Manage reimbursements for ASB, Athletic and District Funds.
- Clear all student athletes, verify eligibility, and maintain sports physicals.
- Prepare paperwork for athletic events and tournaments.
- Prepare supply requisitions, e.g., first aid and athletic equipment; inventory and store equipment after receipt.
- Provide transport data for athletics and cooperate with coaches to arrange transportation and reschedule events as necessary.
- Control sale, refunds and track all student body cards, shop cards, books, fees, Driver Ed, yearbooks, and related items.
- Prepare awards for all athletic events and record individual student awards.
- Process payroll paperwork for officials for all home athletic events.
- Process student insurance, accident, and Labor & Industries reports.
- Compose, prepare and distribute correspondence for the Athletic Director and other administrators and staff.
- Distribute sport schedules to the school and media.
- Perform other related duties as assigned.

- Accounting experience preferred.
- Working knowledge and experience with WESPaC and InTouch receipting preferred.
- Good math aptitude.
- Ability to acquire a working understanding of account codes.
- Proficient in operating office equipment listed in the Tools and Equipment section.
- Accurate general office procedure performance.
- Computer proficiency in Windows environment and related applications.
