This position establishes and maintains student attendance records, resolves attendance matters with students, parents and outside agencies; and handles a variety of other student attendance duties. The position also performs various duties to facilitate the operation of the school office.

Essential Job Functions
  • Creates and updates attendance records for each student; enters or oversees entry of daily attendance information on computer; produces daily bulletin of absentees and distributes it to staff as requested.
  • Answers questions of parents or staff regarding location of students during the day for attendance status.
  • Calls students’ homes each day regarding absences.
  • Reports student absences, attendance or enrollment to outside agencies as required.
  • Provides information to parents and staff regarding each student's attendance record upon request.
  • Completes reports regarding student counts for interested parties; distributes, collects and screens information for federal cards.
  • Handles student requests during the day for re-entry or early dismissal; issues early dismissals for discipline reasons as requested; issues excused or unexcused re-entries; reviews excuses for absence; answers phone calls during the day regarding attendance status.
  • Maintains student attendance files that include excuses from home, discipline forms and letters sent home to parents; sends letter to parents as necessary.

  • Cares for ill or injured students in the absence of school nurse and volunteers as needed; makes arrangements to transport student as necessary.
  • Supervises students placed in office for discipline or detention.
  • Trains and oversees work of student office assistants as assigned.
  • May act as receptionist for the office; screens phone calls and takes messages for staff; provides information.
  • May complete a variety of secretarial duties for the office as requested, such as maintaining discipline records; issuing passes; enrolling and withdrawing students; mailing report cards; typing letters and reports and ordering supplies; and related administrative support tasks.
  • Performs related duties as assigned, on a temporary basis.
  • Regular, reliable, predictable attendance or physical presence is an essential job requirement and critical to the performance of the work.
  • Conditions

    Experiences frequent interruptions from phone calls or visitors to the office; may be required to deal with difficult and sensitive situations and/or people; may be required to lift and carry up to 20 pounds, bend, squat, stoop, kneel, crouch, walk, twist, climb, and/or be mobile.

    Education and Experience

    High school graduation or equivalent and one year of clerical experience or office skills training, including record keeping; or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.

    Licenses/Special Requirements

    Fingerprints and successful WSP and FBI background clearance/sexual misconduct clearance.

    • Knowledge of general office procedures.
    • Skill in keyboarding; computer data entry skills.
    • Ability to operate a personal computer with word processing software applications.
    • Ability to obtain, clarify and exchange information.
    • Ability to demonstrate reasonable, reliable, and regular attendance.
    • Ability to maintain accurate records.
    • Ability to establish and maintain effective working relationships with a variety of people in a multi-cultural, diverse socioeconomic setting.
