Your

Role

The Executive Assistant (EA) to the CEO provides high-level administrative, organizational, and strategic support to ensure the effectiveness of the CEO’s Office. This position requires strong judgment, discretion, excellent communication skills, and the ability to manage competing priorities in a fast-paced, mission-driven environment.

Ideally, you have experience on Capitol Hill, you understand protocol, and you know how to open doors for your CEO. Spanish proficiency is highly desirable, since part of your onboarding will take place in Spain.

Key Responsibilities Executive and Administrative Support
  • Manage the executive reporting system of SAMU.
  • Manage the CEO´s calendar, meetings, and appoinments across multiple time zones.
  • Anticipate needs and advise the CEO on ways to improve systems, processes, or workflows.
  • Prepare briefing documents, presentations, reports, and materials for internal and external meetings.
  • Support political, client, and constituent engagement.
  • Draft, review, and refine correspondence on behalf of the CEO.
  • Handle sensitive information with complete discretion.
  • Monitor and follow up on projects and initiatives so the CEO remains fully informed.
  • Keep the CEO Office archive system.
Meetings and Logistics Coordination
  • Organize board meetings, leadership sessions, donor meetings, and high-level external events.
  • Coordinate corporate, diplomatic, and political events with proper protocol.
  • Take meeting minutes, track follow-ups, and ensure timely execution of action items.
  • Arrange travel itineraries and accommodations for the CEO.
  • Serve as a thoughtful and welcoming host for visitors.
  • Liberate the CEO from petty personal administration and logistics.
Communication and Stakeholder Engagement
  • Serve as the primary point of contact between the CEO and internal or external partners.
  • Ensure timely and professional communication and responses to inquiries.
  • Collaborate closely with the CEO’s Executive Assistant in Europe to maintain alignment.
Qualifications
  • Bachelor’s degree in Business Administration, Communications, Nonprofit Management, or a related field preferred.
  • At least 3 years of experience in administrative or executive support roles. Nonprofit or public sector experience is a plus.
  • Outstanding written and verbal communication skills.
  • Strong organizational ability and high attention to detail.
  • Ability to multitask, prioritize, and perform well under healthy pressure.
  • High level of professionalism, integrity, and judgment.
  • Proficiency in Microsoft Office, Teams, and cloud-based workflow tools.
  • Strong Spanish language skills preferred.

Salary range: $70,000 – $80,000
