Vendor Compliance Coordinator

Holland is seeking a service and detail oriented professional, with strong communication and time management skills, to join our high-performing and collaborative Vendor Compliance team at our corporate office in vibrant downtown Vancouver, Washington. The Vendor Compliance Coordinator is responsible for the onboarding of corporate and residential vendors and supporting them through the contract review and compliance process. This individual will maintain vendor records and monitor ongoing compliance with established standards in accordance with Holland Partner Group's Core Values.

Salary range: $21.00 - $24.00 per hour.

Essential Job Functions:

  • Support vendors and internal teams in the corporate and residential divisions through vendor compliance and vendor contract processes, as assigned.
  • Set up new vendors and support them through the vendor compliance process, as assigned.
  • Set up new users in appropriate databases and provide training on systems and processes.
  • Assist internal team members with vendor compliance and vendor contract related issues.
  • Serve as the point-of-contact for our vendor compliance and vendor contract platforms.
  • Monitor the vendor compliance platform daily for unenrolled and noncompliant vendors.
  • Assist unenrolled and noncompliant vendors with getting compliant daily.
  • Review daily integration and vendor change reports.
  • Conduct regular reviews of one-time and exempt vendors, along with the exceptions.
  • Maintain vendor records in appropriate accounting systems.
  • Review vendor contracts and ensure they meet the requirements of the company and the Property Management Agreements, as assigned.
  • Support and enforce procedures related to vendor compliance and vendor contracts, as assigned.
  • Represent Holland Partner Group in a professional manner at all times.
  • Conform to company apparel standards and set a positive example for all associates.
  • Perform all other duties as directed and assist the overall team effort in any way possible.

Job Requirements:

Education:

High School Diploma or equivalent is required. A college degree or related coursework is preferred.

Experience:

One year of accounting, administrative, or clerical experience required. Prior experience in contracts administration, insurance verification, real estate, or construction preferred.

Knowledge, Skills and Abilities Required:

  • Demonstrated proficiency with MS Word and Excel.
  • Knowledge of basic accounting principles (i.e., journal entries, debits, credits, etc.) preferred.
  • Ability to prioritize and multi-task in a fast-paced environment.
  • Ability to process and handle confidential information in a discreet, professional manner.
  • Strong customer service, time management, and coordination skills.
  • Excellent organizational and analytical skills.
  • Eye for detail; accuracy is imperative.
  • Demonstrated high-level of skill in both verbal and written communication.
  • Familiarity with Certificate of Insurance (COIs) including standard coverage types, key terminology, and how to verify compliance with insurance requirements preferred.
  • Experience reviewing, tracking, or managing contracts preferred.
  • Knowledge of Yardi and/or Real Page Vendor Credentialing preferred.
  • Ability to work effectively with all levels of employees while inspiring respect and credibility.

Attendance:
This full-time position requires regular and punctual attendance compliant with the schedule set to meet company needs. Additional hours or overtime may be required.

This position also requires:

  • Ability to lift or move up to 20 pounds.
  • Hearing and visual ability to observe and detect signs of emergency situations.
  • Fluency in English both verbally and non-verbally.
