Our client, a large, nationally recognized organization, is seeking a Senior Payroll Tax Analyst to join its corporate payroll tax team.

This team is responsible for managing the full spectrum of multi-state payroll tax activities, including registration, compliance, reconciliation, reporting, and resolution of complex tax matters for a diverse client portfolio.

The ideal candidate brings deep knowledge of federal and state payroll tax regulations, strong analytical capabilities, and the ability to navigate multiple systems and jurisdictions. This role partners closely with internal payroll, accounting, and client-facing teams, as well as external agencies, to ensure compliance, accuracy, and risk mitigation.

Title, compensation, and scope will be aligned with the candidate’s experience and ability to perform a range of responsibilities outlined below.

Key Responsibilities
  • Prepare, reconcile, and file federal, state, and local payroll tax returns, including Forms 941, 940, state withholding, unemployment, disability, and paid leave programs across multiple jurisdictions.
  • Ensure compliance with filing deadlines, tax rate updates, and regulatory requirements.
  • Maintain employer tax accounts, including registration, setup, and ongoing account maintenance.
  • Monitor legislative and regulatory changes and implement updates within systems and processes.
  • Review and approve payroll tax funding and liability batches.
  • Reconcile deposits, filings, and general ledger accounts to ensure accuracy and proper period alignment.
  • Investigate and resolve discrepancies, including over payments, credits, and agency balance variances.
  • Serve as a primary contact for federal, state, and local agencies to address tax notices, audits, and correspondence.
  • Research and resolve complex multi-state payroll tax issues, including jurisdictional disputes, account consolidations, and wage base adjustments.
  • Track and elevate recurring issues to support process improvement and risk mitigation.
  • Support onboarding activities, including employer registrations, tax account setup, and rate configuration.
  • Provide guidance on payroll tax compliance topics such as nexus, reciprocity, unemployment tax strategies, and local requirements.
  • Collaborate with Payroll, Accounting, and Legal to ensure alignment and accuracy in reporting and compliance.
  • Enhance and maintain automated tools and controls related to tax validation, rate updates, and filing confirmation.
  • Participate in system upgrades, implementations, and internal audits.
  • Develop and maintain standard operating procedures to improve consistency, scalability, and training.
Qualifications
  • 5+ years of payroll tax experience with multi‑state exposure, preferably in a large employer, payroll provider, or outsourced services environment.
  • Strong working knowledge of federal and state payroll tax regulations, including unemployment and local taxation.
  • Experience with payroll tax or enterprise payroll systems.
  • Advanced Excel skills and comfort working with large data sets and reconciliations.
  • Bachelor’s degree in Accounting, Finance, Business, or related field preferred.
  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred.
  • Experience with electronic filing platforms and agency portals.
