The Senior Payroll Manager serves as a hands-on, people-focused leader responsible for directing and coordinating all activities of the payroll function for a complex, multi-state workforce. This role ensures the timely and accurate processing of payroll across multiple legal entities while driving operational excellence through process automation, workflow optimization, and effective use of technology.
The Senior Payroll Manager will oversee all complex payroll reconciliations, address escalated issues with urgency and accuracy, and maintain exceptional service standards for employees at all levels. This position requires a balance of strategic leadership and tactical execution, fostering strong partnerships with internal and external stakeholders and promoting a collaborative, service-oriented environment.
ESSENTIAL DUTIES & RESPONSIBILITIES
Responsibilities
- Oversee end-to-end multi-state payroll for multiple legal entities, ensuring the consistent accuracy of payroll execution, including timekeeping, data imports, and wage calculations.
- Ensure full compliance with wage and hour laws, payroll tax filings (Federal, State, Local), and garnishments.
- Maintain strict confidentiality and integrity of payroll data.
- Ensure payroll documentation is accurate, compliant, organized, and audit-ready in alignment with company policies and regulatory requirements.
- Remain current on changes in payroll laws, tax regulations, and industry best practices.
Audit, Controls & Special Pay
- Drive compliance through internal controls, managing internal and external audits, and performing GL reconciliations.
- Audit and process incentive compensation, scheduled bonuses, and out-of-cycle bonus payments.
- Lead payroll system configurations, upgrades, and integrations to support workflow efficiency and data accuracy.
- Generate detailed payroll reports for Finance, HR, and Accounting to support business insight and reconciliation needs.
- Provide incisive leadership to the payroll team, including coaching, developing, and training team members for success.
- Promote a positive, collaborative, and supportive work environment, ensuring exceptional internal customer service and strong cross-department relationships.
Process Improvement & Optimization
- Critically review and analyze current payroll practices to identify opportunities for improvement.
- Plan, develop, and implement forward-looking payroll processes and procedures to improve accuracy, efficiency, and overall employee experience.
Cross-Functional Collaboration
- Collaborate with HR, Finance, and other departments in support of business needs and employee experience.
- Strengthen internal communication with staff and colleagues at all levels to ensure consistent and exceptional internal customer service.
- Support the Accounting team on special projects and other assignments as needed.

Requirements & Qualifications Experience, Knowledge & EducationExperience
- Ten (10) to fifteen (15) years’ relevant work experience leading Payroll and related processes of a large volume of employees (including remote workforce) in a complex and rapidly changing multi-state, multi-entity organization.
- Minimum seven (7) years in a supervisory position with two (2) or more direct reports.
- Managing payroll for hourly and salaried employees.
- Overseeing multi-state payroll processing, including timekeeping integrations and wage calculations.
- Managing payroll tax remittance, reconciliation, and compliance across federal, state, and local jurisdictions and administering garnishments and other statutory deductions.
- Configuring or optimizing payroll systems, with Paycom preferred.
- Supporting internal or external payroll audits, including GL reconciliation.
- Producing payroll and financial reports to support Finance, Accounting, and HR.
Knowledge
- Thorough knowledge of personnel and payroll practices, tax laws and principles and their relationship to accounting and legal requirements.
