JobPurpose
As a Student Recruitment & System Data Specialist, you will collect, document, and enter student and school data into district, parish, and CSUSA student information systems. You will work with school leaders, marketing, enrollment, curriculum, operations, and student support stakeholders to maintain accurate, up‑to‑date records and ensure optimal state reporting, funding, and operational compliance.
How You Will Impact Education Data Entry & Accuracy- Enters, verifies, corrects, and audits data; obtains additional information for incomplete documents.
- Ensures data for students is up to date, accurate, and aligned between SIS, enrollment system, and state/district systems.
- Utilizes error reports to make appropriate corrections to student data.
- Maintains student records, attendance information, and grade reporting in SIS.
- Coordinates with CSUSA departments to ensure tight Power School integration.
- Assists in clearing error reports for proper year‑long SIS database flips and maintenance.
- Consults with CSUSA personnel to assist in student schedules and procedures.
- Enters daily attendance and maintains accurate attendance reports in both the district system and SIS.
- Supports system end‑of‑year and start‑of‑year processes.
- Enters Free and Reduced Lunch applications into the district and company database.
- Ensures all FRL data is entered into the state or district system.
- Works collaboratively with ESE/Gifted, ELL/MLL, and other staff to ensure accurate program data.
- Obtains special population student records and communicates with program leads for timely service delivery.
- Requests and follows up on transcripts of incoming students.
- Prepares and transmits requests for official documents related to students.
- Maintains electronic and hard‑copied student records including attendance, immunization, transcripts, grades, schedules, and procedures.
- Ensures compliance with district, state, federal, and CSUSA regulations regarding student records and FERPA.
- Responds to requests for information and accesses relevant files.
- Complies with all data integrity and security policies and maintains confidentiality.
- Reviews records to ensure accuracy and completeness with regulations.
- Manages registration, recommitment, and withdrawal processes and associated reporting for all students.
- Prepares, compiles, and sorts documents for data entry into school and district/state databases.
- Ensures enrollment and academic coding, scheduling, and student information are accurate for funding.
- Regularly reviews state error reports for accuracy and completeness.
- Monitors and updates information to ensure funding count cycles are accurate.
- Enters and maintains student records, immunization, attendance, and grade reporting in state/district system.
- Attends district/state training on formal reporting.
- Cross‑trains others on critical entry data specialist functions and on other marketing and enrollment functions.
- Provides status updates and progress on marketing and enrollment projects.
- Prepares enrollment, registration, and application reports for school leadership.
- Experience engaging social media to promote the school.
- Proficiency with Microsoft Office, Student Information System, and email communications.
- Knowledge of federal, state, and local requirements for K‑12 schools with preferred charter school law experience.
- Ability to work with individuals at all organizational levels.
