Job Purpose
The Real Estate Closing Officer plays a pivotal role in the seamless management of real estate closings from initiation through to funding and post-closing delivery. This position serves as the essential link between buyers, sellers, lenders, and real estate agents, ensuring that all transaction requirements are met accurately and within deadlines. Responsibilities include reviewing title commitments, preparing settlement statements and closing documentation, balancing files, conducting closings, and ensuring the proper disbursement and recording of all materials.
The role emphasizes delivering outstanding customer service, maintaining compliance with regulations, and safeguarding the financial interests of all involved parties.
- Initiate and manage escrow files according to company and lender protocols.
- Thoroughly review title commitments, purchase contracts, loan instructions, and related documents.
- Prepare closing disclosures, settlement statements, and escrow instructions with precision.
- Collect and verify necessary payoffs, invoices, insurance, and clear-to-close documentation.
- Conduct in-person, virtual, or mail-away closings; clearly explain documents to all parties involved.
- Oversee disbursements, ensure files are balanced, and handle accurate funding and recording of documents.
- Maintain proactive communication with agents, lenders, clients, and internal teams to address inquiries and uphold timelines.
- Manage shared inboxes and respond promptly to support customer service throughout the transaction process.
- Ensure adherence to ALTA best practices, company policies, and state regulations.
- Facilitate post-closing tasks, including document recording, policy issuance, and final file distribution.
- Collaborate with escrow assistants, managers, and the title department to meet service goals and deadlines.
High school diploma or equivalent is required; further education is preferred. Minimum of 2 years’ experience in title, escrow, real estate, lending, or legal services is strongly preferred. A thorough understanding of settlement procedures, closing documents, and real estate practices is a key asset.

- Ability to quickly learn industry-specific software, such as e-recording systems, lender portals, wiring systems, and document tracking tools.
- Notary commission is preferred or the ability to obtain one.
- A background check will be required.
- Ability to sit, stand, or lift file boxes occasionally.
- Reliable transportation may be required for courier tasks or signing appointments.
