Orange East Supervisory Union, based in Bradford, Vermont, is seeking applications for a full-time Accounting/Payroll Specialist to join our Central Office team. This position supports the organization’s accounting, payroll, and human resources functions and requires a high level of accuracy, confidentiality, organization, and customer service.
Position Summary:
The Accounting/Payroll Specialist is responsible for performing a variety of accounting, payroll, reporting, and human resources-related duties. The successful candidate will work closely with the Business Manager, Director of Finance, Superintendent, administrators, and employees to ensure accurate and timely financial and payroll operations and responsive service to staff.
- Processes biweekly payroll, quarterly reports, and year-end reporting, including W-2s.
- Maintains accurate and up-to-date payroll records and files, ensuring appropriate deductions and with holdings.
- Reviews payroll changes and promptly updates payroll records to reflect changes in compensation, benefits, deductions, employment status, and other relevant information.
- Develops a thorough understanding of current teacher, staff, and merged master agreements as they relate to payroll and human resources responsibilities.
- Uses automated accounting and payroll system reporting functions to generate, review, and analyze reports.
- Prepares and analyzes monthly financial statements and other financial reports.
- Prepares and posts journal entries as necessary.
- Processes and records cash receipts.
- Reconciles monthly bank statements and investigates and resolves discrepancies.
- Assists building-level administrators, the Business Manager, and Director of Finance with budget development and monitoring.
- Ensures proper budgeting, coding, and accounting of expenditures in collaboration with appropriate personnel.
- Maintains ongoing communication with employees, principals, supervisors, and other constituents to provide accurate and timely information and assistance.
- Responds to payroll, accounting, and HR-related questions and troubleshoots issues, advising supervisors when appropriate.
- Researches information and prepares reports and other materials for supervisors as assigned.
- Identifies opportunities and makes recommendations for continuous improvement, efficiency, and customer service.
- Receives and responds to email, written correspondence, and telephone inquiries in a timely and professional manner.
- Maintains strict confidentiality when handling sensitive and highly personal employee, payroll, financial, and human resources information.
- Participates in administrative trainings, meetings, staff meetings, and professional development activities as requested and appropriate.
- Performs other duties and responsibilities as assigned.
- Associate’s degree in accounting, business administration, human resources, or a related field preferred; equivalent education and relevant experience may be considered.
- Previous experience in accounting, payroll, human resources, or a related field required.
- Experience with payroll processing and financial/accounting systems preferred.
- Strong knowledge of accounting principles and practices.
- Demonstrated ability to maintain accurate and confidential records.
- Strong organizational skills and attention to detail.
- Ability to interpret and apply policies, procedures, contracts, and collective bargaining agreements.
- Strong communication and interpersonal skills, with the ability to work effectively with employees and administrators at all levels.
- Ability to prioritize multiple responsibilities, meet deadlines, and work independently while also functioning effectively as part of a team.
