Compensation: $26.00 – $35.00 per hour (commensurate with experience)
Position Overview: GISU is seeking a highly professional, organized Confidential Office Manager to serve as the primary Executive Assistant to the Superintendent. This is a pivotal role within our district leadership team, requiring a unique blend of high‑level administrative support, board governance coordination, and office management. As a confidential employee, you will frequently handle sensitive information related to labor relations, personnel, and district strategy.
This in-person position is located at the Central Office in North Hero.
- Executive & Administrative Support:
- Serve as the primary point of contact for the Superintendent’s office; manage calendars, schedule appointments, and coordinate travel.
- Draft, proofread, and edit high‑level communications, reports, and policy statements.
- Research background data for special projects, draft policies/procedures, and track district initiatives to ensure deadlines are met.
- Design and maintain filing systems and databases to ensure the completeness and security of executive records.
- Board Governance & Public Relations:
- "Warn" meetings in accordance with legal requirements; prepare and distribute agendas and informational packets for all school boards and committees.
- Attend meetings to record and transcribe minutes (or complete from recordings); maintain archival board files.
- Update and maintain school board webpages, including minutes, agendas, and School Action Plans.
- Act as a professional bridge between the Board, district staff, and the community.
- Central Office Operations:
- Manage general office flow, including mail distribution, supply procurement, purchase orders for directors, and oversee the central filing system.
- Greet visitors and answer phone lines.
- Manage the School Choice program, residency issues, and tuition waiver requests in accordance with state law and GISU policy. Manage the Medicaid Administrative Claiming (MAC) Annual Reinvestment Plan and program.
- Assist with the development and training of school-based clerical staff on new district-wide procedures.
- Manage the calendar, scheduling and correspondence in support of Special Education.
- Education: Associate’s Degree with at least 3 years of experience, or Bachelor’s Degree with at least 1 year of experience.
- Certifications/Licenses: Valid Vermont Driver’s License; maintain an acceptable driving record.
- Travel Requirement: Reliable transportation; occasional travel between school locations or offsite spaces may be required. Reimbursement at IRS-approved rate for mileage.
- Technical Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Experience with website maintenance and desktop publishing is preferred.
- Discretion: Proven ability to handle highly confidential and sensitive information with absolute integrity.
- Communication: Exceptional written and verbal communication skills; ability to translate complex information for diverse audiences (parents, board members, staff).
- Attributes: High level of accuracy, attention to detail, and the ability to work independently without constant supervision.
- Citizenship/Residency: Citizenship, residency or work visa required.
- Salary: $26 – $35 per hour (12‑month salaried schedule).
- Vacation: 20 Paid Vacation Days per year.
- Sick Leave: 17 Paid Sick Days per year.
