Position: Office Manager - College of Arts & Sciences - Norwich University
Location: Northfield Center

Office Manager – College of Arts & Sciences

Provide administrative and financial support to the College of Arts and Sciences. Collaborate with the College’s other Office Manager, the Dean, department chairs, school directors, faculty, staff, and students.

Job Description

Full‑time, 40 hours per week, 1.0 FTE position. 52 weeks per year.

Essential Functions
  • Facilitate daily office functions, including front desk coverage, telephone and email communications, calendar management, and travel accommodations (registration, lodging, air travel).
  • Schedule meetings, coordinate arrangements, prepare agendas, collect materials, attend meetings, take minutes, and distribute minutes to designated parties.
  • Create documents for presentations.
  • Support and assist committees led by this office.
  • Assist with various assigned projects.
  • Plan, arrange support for, and execute events hosted by this office.
  • Research, compile, and prepare reports as requested.
  • Produce basic correspondence.
  • Process invoices and reconcile purchasing/travel cards.
  • Maintain office supplies inventory and shared folders.
  • Assist in the design, development, and upkeep of related Microsoft Teams sites.
  • Supervise work‑study students.
  • Process hiring requisitions, hiring forms, and contracts as directed.
  • Facilitate new employee onboarding.
  • Maintain and input faculty information into the faculty module for new hires, educational background, awards, honors, and publications.
  • Assist in preparing budgets, monitor budget, and prepare financial reports as required.
  • Oversee departmental budgets and confer with chairs on budget information and expenditures.
  • Manage purchasing and vendor tracking for lab science college budgets.
  • Develop and maintain efficient office procedures and recommend improvements related to external processes.
  • Maintain and update the College’s online presence (websites, blogs, social media, etc.).
  • Input and update instructor, advisor, and student data in Banner.
  • Assist in maintaining the College directory.
Other Functions
  • Maintain confidentiality of sensitive or private information.
  • Communicate with employees, students, and others in a respectful and clear manner.
  • Serve on University committees, councils, work groups, or other designated bodies as assigned.
  • Achieve and maintain proficiency in and utilize computers, telephones, and other job‑related equipment, including related systems and software.
  • Speak, read, and write in English.
  • Communicate by telephone, email, letter, in person, or other means or device.
  • Perform other tasks as assigned by supervisor.
Requirements
  • High school diploma or equivalent; associate’s degree preferred.
  • Three years of administrative, financial, or general office experience, preferably in higher education.
  • Proficiency with Microsoft Office (Word, Excel, Publisher, Outlook); ability to learn Banner and Course Dog.
  • Physical ability to sit, squat, reach, push, pull, and manipulate related equipment; lift up to 15 pounds; travel outdoors to various parts of the campus.
Environmental Conditions
  • Low level exposure to noise, dust, fumes, vibrations, and temperature changes.
