Location: Rochester

Reporting to the Managing Director and Site Lead, you will be responsible for coordinating the daily operations of our office, performing administrative duties as needed, ensuring efficiency, and supporting the Ai team.

Your Job Profile

Schedule:

M-Th or Tu-Th; part-time hours – can be discussed.

Essential Duties:

  • High-level support to Managing Director & Site Lead with administrative duties, including preparing reports where needed
  • Coordinate office operations, protocols and procedures
  • Responsible for company-wide communications
  • Maintain and organize files, records, and documents for the site
  • Coordinate schedules and appointments to support
  • Order office supplies and coordinate contractors/facilities maintenance, including building security responsibilities
  • Responsible for ordering food, picking up food, and coordinating with meetings; ensure employee snacks are stocked at all times
  • Participate in Health & Safety committee meetings, responsible for meeting minutes and distribution/posting of minutes
  • Assist in budgeting and other financial tasks
  • Any other duties assigned by the Managing Director & Site Lead

Required Skills:

  • Strong organization skills with the ability to prioritize tasks effectively
  • Excellent communication skills
  • Strong attention to detail
  • Proven track record in team management & development
  • Experience in budgeting, vendor management, and schedule coordination
  • Proficiency in Paylocity and other office management software
  • Proficiency in MS Word, Excel, and Power Point
  • Ability to handle confidential information with discretion and professionalism
