Receptionist

Job Description

The community of Otter Valley Union Middle and High School in Brandon, Vermont and the Rutland Northeast Supervisory Union seek a creative and dynamic individual to fill a receptionist position beginning August 2026. The Secretary/Receptionist is responsible for the efficient directing of all incoming telephone calls, faxes, web requests, mail and/or visitors to the necessary staff/department. They will provide information regarding school activities and events, as well as the location of departments, offices, and employees within the building.

In addition, clerical support will be provided to all main office staff to ensure efficient flow of information and correspondences. Finally, the position will have clerical responsibilities in the area of tracking and monitoring school and class attendance.

Secretarial Duties
  • Answer all telephones and greet visitors in a professional, helpful, positive, responsive, efficient and friendly way.
  • Allow access and greet people entering the building, determine the nature and purpose of their visit, and direct or escort them to specific destinations. Fulfill policy requirements for visitors to use the RAPTOR management system.
  • Review the daily classroom coverage schedule each morning; greet/sign- in substitute teachers and provide information, directions and keys.
  • Maintain sign-in and sign-out sheets for students, teachers, and visitors.
  • Monitor the bus intercom system – receiving, relaying, and assisting when needed.
  • Serve as a key point person for relaying phone information about student needs to administration, counseling, and student support via the walkie talkie system.
  • Monitor attendance completion by all teachers at the beginning of the day and the start of each block, distribute daily attendance to teachers via email, and update attendance as students enter or exit the school building.
  • Under the direction of the Associate Principal, distribute letters in accordance with truancy protocol.
  • Coordinate appointment scheduling for the Associate Principals upon request.
  • Communicate information for faculty and staff.
  • Maintain a registry of vehicle permits for students and staff; create and issue parking permits under the direction of the Associate Principal.
  • Maintain the inter-office mail system at Otter Valley.
  • Monitor and contact appropriate vendors for photocopiers, printers, and fax machines.
  • Ensure adequate inventory of office supplies and maintain office equipment. This includes making sure that fax and copy machine have adequate paper and toner supply, and the postage meter has adequate postage.
  • Provide fax and copier support services as appropriate to office staff and guests.
  • Work collaboratively with the administrative assistant to the Principal and guidance secretary on assigned tasks related to public and internal communications.
  • Provide support where necessary for special projects, including but not limited to graphs, tables, and publishing assistance, collecting and organizing employee/staff correspondences like contracts, and open enrollment forms.
  • Collaborate with other office departments and staff to support programs and services of OVUHS including but not limited to scheduling rotating lunch coverage, mailings, sorting and distributing notices, etc.
  • Other duties as assigned by the Principal.
Qualifications

Minimum: High School Diploma
