Central Office Administrative Assistant – Central Vermont Supervisory Union

Location: Williamstown, Vermont

Starting Date: Immediately

Job Summary

Assist the Director of Special Services and the CVSU Special Education team by coordinating administrative support functions related to special education and student services. Administer the Supervisory Union’s Medicaid School Based Health Services Program to generate Medicaid reimbursement. Foster a professional, inclusive work environment that emphasizes teamwork and timely services to staff, families and stakeholders.

Responsibilities
  • Manage incoming records for newly registered students eligible for special education; gather records and prepare mailings.
  • Track, organize and maintain special education files (active and inactive).
  • Perform and report Child Count submissions; coordinate information needs, process data, and submit reports by deadlines.
  • Send correspondence related to bi‑annual time schedule requirements and maintain storage per AOE guidelines.
  • Track other AOE reporting as required.
  • Serve as Docu Sped Administrator: create accounts, manage caseload access, securely transfer files between districts, and assist with reconfiguration.
  • Assist Director with monitoring procedural compliance checks; notify when errors are discovered.
  • Develop and maintain computerized departmental records and filing systems.
  • Create and maintain procedural manuals and informational materials.
  • Attend meetings and training sessions; confer with the Co‑Director of School Transformation on projects, policies, and personnel issues.
  • Prepare, proof, and edit correspondences, reports, and materials; draft routine correspondence.
  • Manage ESSA/Educational st abilities and BID compliance paperwork.
  • May train, assist, and occasionally direct co‑workers.

Qualifications
  • Demonstrated experience supporting diverse students, including students of color, English language learners, and LGBTQI students.
  • Associate degree in business or related discipline plus 2–3 years of clerical/administrative experience, or equivalent combination.
  • Broad base of general clerical/secretarial skills.
  • Administrative and organizational skills; experience with moderately complex filing and records systems.
  • Computerized information systems experience (desirable or required).
  • Valid driver’s license.
  • Fingerprint/criminal background clearance.
  • Typing speed of 55 wpm or faster.
  • Strong communication, computer, and interpersonal skills.
  • Ability to read, write, and interpret documents and develop reports.
  • Basic math and reasoning skills.
Physical Demands

Work requires sitting, talking, hearing, walking, using hands and fingers, occasional standing, reaching, and lifting up to 50 pounds.

Work Conditions

Moderate noise level in an office environment.
