Overview
The Admissions Scheduler is responsible for coordinating and scheduling inpatient admissions for a substance use treatment program. This role serves as the primary point of contact for referrals, working closely with internal clinical teams, community providers, and correctional facilities to ensure timely, smooth transitions into care. The position requires strong organization, attention to detail, and the ability to manage high volumes while maintaining professionalism, accuracy, and a patient-centered approach.
Key Responsibilities- Coordinate and schedule patient admissions for inpatient substance use treatment services
- Serve as a primary point of contact for incoming referrals, providing clear communication and guidance throughout the admissions process
- Collaborate with clinical staff, case managers, and external partners to ensure seamless patient transitions into care
- Work closely with community providers to coordinate Methadone and Medication-Assisted Treatment (MAT) services prior to admission
- Communicate and coordinate with correctional facilities to arrange continuation of care and treatment planning for incarcerated individuals
- Maintain accurate and up-to-date scheduling records and patient information using Excel and internal systems
- Manage multiple priorities in a fast-paced environment while meeting deadlines and maintaining attention to detail
- Demonstrate excellent phone etiquette, professionalism, and empathy when speaking with patients, families, and referral sources
- Ensure all admissions documentation and scheduling details are completed accurately and in compliance with regulatory standards
- High school diploma or equivalent required; associate or bachelor’s degree preferred
- Prior experience in healthcare scheduling, behavioral health, or substance use treatment strongly preferred
- Proficiency in Microsoft Excel and general computer systems
- Strong organizational skills with exceptional attention to detail
- Ability to work effectively in a fast-paced, high-pressure environment
- Excellent verbal communication skills and professional phone etiquette
- Demonstrated ability to collaborate with multidisciplinary teams and external agencies
- Knowledge of addiction treatment services and Medication-Assisted Treatment (MAT) is a plus
- Strong multitasking and time management abilities
- High level of motivation and accountability
- Compassionate, patient-centered approach
- Problem-solving mindset with the ability to adapt to changing priorities
- Ability to handle confidential information with discretion and professionalism
