Introduction
We are recruiting for a Secretary 2 to cover the Departments of Economics and Finance/Accounting and Business Information Systems on our beautiful campus located in Willimantic, CT. Eastern Connecticut State University (ECSU) is a State of Connecticut institution of higher learning and the state's designated public liberal arts university. Our mission is to provide high‑quality undergraduate and select graduate programs to a diverse population of talented students.
PositionHighlights
- Full‑time, 40 hours per week.
- Monday – Friday, First Shift, 8:00 am – 5:00 pm.
- Departments of Economics and Finance/Accounting: Provides instruction that facilitates a comprehensive exploration of diverse fields such as real estate, labor markets, money management, healthcare, income inequalities, and sustainability.
- Business Information Systems: Supports student learning in technology skills, business knowledge, and competency in leadership, analytical thinking, business intelligence, data analysis, project management, and teamwork.
- Typing:
Format and type a range of correspondence, reports, bills and drafts from rough drafts or dictated notes; proofread and edit for content, grammar, punctuation and spelling. - Filing:
Design and maintain office filing systems, including confidential files; update reference materials and manuals. - Correspondence:
Compose complex letters and memoranda to own or supervisor’s signature. - Report Writing:
Compile information, prepare narrative or statistical reports, exercising judgment in item selection. - Interpersonal:
Greet and direct visitors; answer phones and screen calls; provide advice on policy and procedures; coordinate non‑routine matters with internal and external stakeholders. - Processing:
Screen letters, memos, reports and other materials to determine required action; make recommendations to supervisor. - Secretary:
Arrange and coordinate meetings, research and assemble materials, write minutes, take notes, prepare expense accounts, make travel arrangements. - Office Management:
Maintain inventory of supplies, order when necessary, process purchasing paperwork (orders, requisitions, invoices), maintain time and attendance records, assist in preparing/monitoring office budget, design new forms and procedures to facilitate workflow; perform related duties as required.
- Considerable knowledge of office systems and procedures; proper grammar, punctuation and spelling.
- Knowledge of business communications, departmental policies, business math.
- Interpersonal skills; oral and written communication; ability to schedule and prioritize office workflow.
- Proficient in operating computers, tablets, and office suite software.
- Note‑taking skills (shorthand, speed writing, or other acceptable method).
- General
Experience:
Three (3) years of experience above the routine clerk level in office support or secretarial work. - Special
Experience:
One (1) year of the General Experience must have been as a Secretary 1 or its equivalent. - Substitutions Allowed: College training in the secretarial sciences may be substituted for the General Experience at the basis of fifteen (15) semester hours equaling one‑half (½) year of experience to a maximum of two (2) years.
- Proficiency in organizing and managing multiple calendars, faculty schedules, and task flow; experience multitasking and prioritizing tasks.
- Proven experience with Word, Excel, Outlook and other Microsoft Applications; quick learner of University Technology Applications (Banner, Core‑CT, Slate, eReports).
- Proficiency with website management (Word Press, Cascade); developing professionally written materials, including flier, letters to students, and memos to staff.
- Ability to quickly comprehend academic programs to answer basic questions and direct calls appropriately.
- Experience interacting with faculty, staff, and students; familiarity completing paperwork for faculty hiring, reimbursements, and travel.
- Demonstrated responsibility for scheduling and planning departmental events; maintaining timely email communications; confidentiality of records.
- Professional, calm demeanor with a cheerful disposition; helpful and supportive attitude; punctual and consistent attendance.
