The Town of Fairfax is seeking a Finance Assistant to support Town financial accounting functions, including payroll, accounts payable, utility billing, property tax billing, and cash receipts. The successful candidate will work closely with Town leadership to ensure accurate recordkeeping, regulatory compliance, and efficient day-to-day operations. The Finance Assistant must be self-motivated, demonstrate a high degree of trustworthiness, attention to detail, and ability to retain confidential information.
EssentialFunctions
- Maintain all aspects of Accounts Payable, to include coordination with Department Heads to process vendor invoices, data entry, preparation of related reports and warrants, payments, and maintenance of related files and records;
- Assist with processing payroll in compliance with applicable laws;
- Verify cash receipt postings and post transfers between accounting modules;
- Ensure that all credit card payments received online are posted correctly in a timely manner;
- Act as a point of contact for cash receipt inquiries, internal and external requests;
- Maintain all aspects of the utility billing system, to include preparation of quarterly bills, account management, cash receipts;
- Assist in preparation and issuance of annual property tax bills according to documented procedures;
- Act as a point of contact for escrow companies remitting property tax payments to include file downloads and responding to inquiries;
- Assist with utility and property tax inquiries by providing information and account statements;
- Assist with the ACH new client setup;
- Assist with issuing refunds and apply credits to accounts as necessary;
- Process returned payments;
- Assist with the annual financial audit process;
- Assist with Town banking requirements; deposits, transfers, void checks, account monitoring, and reconciliation of bank statements;
- Performs other tasks and assignments as assigned by the Finance Director.
- High School education or equivalency required, 2-3 years of experience in a financial or administrative position with cash handling experience;
- Exceptional attention to detail with good organizational skills and reading/writing skills;
- Knowledge of local government, basic accounting, and governmental finance is preferred;
- Standard office suite including word processing, spreadsheets and databases experience is required, with NEMRC experience preferred;
- Must pass required background check.

The expected hourly wage for this position is $27-30/hour
