Job Location

Vernon State Hospital, 4730 College Dr, Vernon, Texas

Essential Job Functions (EJFs)
  • Attend work on a regular basis and may be required to work a specific shift schedule or, at times, an extended or rotating schedule, and may be required for overtime in accordance with agency leave policy.
  • Receive, sort, date‑stamp, and distribute all campus mail from the post office.
  • Participate in the daily run to the local post office to pickup and drop off mail.
  • Coordinate requests for materials, postage, registered mail, packages, and other office supplies with the Financial Officer.
  • Distribute cash per patient special requests or client outings.
  • Write receipts to reflect the source of the funds (petty cash or trust fund) and the purpose of the payment.
  • Receive unused funds, reconcile the petty cash box, and communicate with the Accountant I (RBMO) about balances needed to replenish petty cash.
  • Prepare daily receipts (call‑in sheets) and daily bank deposits.
  • Receive funds (cash or check) through mail or at the cashier window, write receipts, and pull all documentation together for the Accounting Technician II to deposit.
  • Perform other duties as assigned, which may include supporting the agency’s obligations for disaster response, recovery, or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern or location.
Knowledge,

Skills and Abilities

(KSAs)
  • Knowledge of clerical and financial procedures; proper use of spelling, punctuation, grammar, and arithmetic; knowledge of business and financial policies and procedures; and knowledge of records administration and postage procedures.
  • Skill in using a personal computer and Microsoft applications, including proficiency in Excel, Word, and Outlook, and use of a 10‑key calculator for data entry.
  • Ability to prepare and maintain records, files, and reports; to transfer client effects or mail from one location to another; to perform arithmetic computations; to communicate effectively; and to train other employees.
Registrations, Licensure Requirements or Certifications

If required to drive a state vehicle, must possess a valid Texas driver license or obtain it no later than 90 days after hire date to drive a state vehicle. Applicants with an out‑of‑state driver license must provide an original certified driving record from the state of licensure. Eligible driving record required per HHSC Fleet Management policy.

Initial Screening Criteria
  • Experience using a personal computer.
  • Experience with Microsoft applications, including Excel, Word, and Outlook.
  • Experience preparing and maintaining records, files, and reports.
  • Experience in a cashier’s office setting/customer service environment, preferably in a state hospital or state‑supported living center setting.
  • Graduation from a standard or high school or equivalent is generally preferred. Experience and education may be substituted on a year‑for‑year basis.
