Venue Assistant Coordinator Pool

Position Summary

The Venue Assistant Coordinator serves as the venue representative for clients and vendors from final planning through event completion. This role ensures timelines run smoothly, venue policies are upheld, staff are directed effectively, and the event is executed at a high professional standard.

• Final planning communication with couples for weddings
• Review and approve timelines, layouts, and vendor plans
• Serve as main point of contact for all vendors
• Direct ceremony, reception, and key timeline moments
• Supervise event staff and assign duties
• Enforce venue policies and safety standards
• Manage problems, changes, or emergencies calmly
• Oversee event breakdown and final venue walkthrough
• Document incidents, damages, or policy violations

• Strong leadership and decision‑making skills
• Experience managing live events
• Excellent communication and conflict resolution
• Ability to stay calm under pressure
• Professional appearance and demeanor

This position is classified as an Independent Contractor (1099) role. Nothing in this job description shall be construed to create an employer‑employee relationship. The contractor is responsible for all federal, state, and local taxes, insurance, and licensing requirements associated with independent contractor status.

This role is engaged on an event‑by‑event or project basis. Hours, assignments, and continuation of work are not guaranteed. The venue retains the right to determine event needs, and the contractor retains control over the manner and means of performing services within venue guidelines and event requirements. Contractors are not eligible for employee benefits, workers’ compensation coverage, unemployment benefits, or other employer-provided benefits.
