TITLE:

Payroll Clerk

REPORTS TO:

Director of Finance

JOB GOAL

To contribute to staff morale and efficiency by prompt and accurate handling of all payroll matters.

SUPERVISORY RESPONSIBILITY

None

RESPONSIBILITIES
  • Receives and computes all payrolls, making deductions for income tax, social security, retirement, insurance, and other payroll deductions.
  • Prepares reports and checks that are distributed for income tax, social security, retirement, insurance, garnishments, and other payroll deductions.
  • Records all absentee records on employees and information to pay substitutes each pay period.
  • Records any exceptions to payroll each pay period and verifies for correctness before running payroll.
  • Maintains proper computer input of employee payroll files on all covered deductions, with paper documentation forwarded to personnel department or filing.
  • Distributes all payroll checks to employees.
  • Assists with setup and provides training on Jantek Scanning System in Financial Systems.
  • Coordinating absences; assists the Financial Systems Coordinator in the monthly filing for retirement.
  • Sets up employees on computer for payment, tax information, pay status, account codes, sick, personal, and vacation days.
  • Runs hard copy of monthly retirement report; processes retirement report electronically.
  • At the beginning of a new fiscal year, enters new contract amounts, account codes, advance sick, vacation and personal leave days.
  • Has a full understanding of computerized payroll accounting.
  • Serves as Director of Financial Operations backup in preparing the following federal and state tax reports and distributes applicable tax documents to employees:
  • 941 Quarterly Reports
  • W2
  • Retirement
  • State Tax Reports
  • Unemployment Reports
  • Performs other tasks as assigned.
QUALIFICATIONS

Payroll/ bookkeeping experience preferred. Proficient in computer applications.

EDUCATION AND EXPERIENCE

High School Diploma

LANGUAGE SKILLS

Ability to respond to inquiries or complaints. Ability to communicate to diverse groups of people. Demonstrates effective communication skills by speaking clearly and expressing ideas logically and giving clear, explicit explanations. Uses written communication appropriately and professionally.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is frequently required to sit and talk or hear. The employee is occasionally required to stand, walk, reach, bend and sometimes lift up to 25 pounds. Mobility skills are necessary to access a variety of work locations.

OTHER SKILLS

Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Must keep accurate, up-to-date records. Define problems, collect data, establish facts, and draw valid conclusions.
