Position Summary

Up Victoria Single Parent Resource Centre is seeking a Manager of Finance and Administration to lead the organization's financial and administrative functions and support strong organizational accountability and sustainability. Reporting to the Executive Director, the Manager is responsible for financial administration and reporting, payroll and human resources administration, governance support, donor and grant administration, compliance, and administrative systems.
The Manager works closely with the Executive Director, staff, Board of Directors, auditors, funders, financial institutions, government agencies, and other external partners to ensure accurate financial management, effective administrative systems, regulatory compliance, and informed organizational decision-making.
Key Responsibilities
Financial Administration & Reporting
Manage accounts payable, accounts receivable, bank deposits, petty cash, account reconciliations, and other day-to-day financial operations.
Prepare financial reports, organizational metrics, funding reconciliations, variance analyses, cash flow reports, and supporting documentation for the Executive Director, Board of Directors, funders, and auditors as required.
Develop financial projections and analysis to inform organizational budget development and forecasting in collaboration with the Executive Director.
Monitor and report on financial performance, funding allocations, reporting deadlines, and compliance requirements, identifying emerging issues and risks as appropriate.
Payroll & Human Resources Administration
Manage payroll, benefits administration, vacation and sick leave tracking, Record of Employment submissions, WCB remittances, and related payroll requirements.
Manage employee records and employment documentation, including personnel files, employment agreements, policy acknowledgements, and onboarding and offboarding documentation.
Develop, maintain, and update human resources policies, procedures, and practices.
Monitor applicable payroll legislation, employment standards, and human resources compliance obligations.
Executive & Governance Administration
Provide confidential administrative support to the Executive Director, including coordinating Board and committee meetings, preparing Board packages and reports, and tracking follow-up actions.
Maintain organizational and governance records, including insurance documentation, society records and AGM documentation.
Complete legislative filings and reporting requirements and ensure governance obligations and Board deadlines are met.
Develop, maintain, and recommend improvements to governance policies and procedures.
Donor, Database & Fund Development Administration
Manage the organization's donor, member, and stakeholder database.
Manage donation and grant administration, including donation processing, charitable tax receipting, recurring giving, donor acknowledgements, donor correspondence, grant records, and compliance with funding agreements.
Prepare and analyze donor and fundraising reports, grant reporting, database queries, and related information to support organizational planning and decision-making.
Coordinate donor administration for annual campaigns, such as the Holiday Hamper Program, including sponsor records, gift coordination, and related documentation.
Administrative Systems & Organizational Support
Develop, maintain, and continuously improve administrative systems and procedures to support organizational efficiency and accountability.
Serve as the Executive Director's designate for day-to-day administrative and operational matters during periods of absence, within delegated authority established by the Executive Director.
Participate in organizational events, activities, and initiatives as required, contributing to the broader work of the organization.
Perform other related duties as assigned.
Reporting & Working Relationships
Weekly meetings with the Executive Director.
Bi-weekly staff meetings and other organizational meetings as required.
Regular updates regarding financial reporting, payroll, governance, compliance, and organizational priorities.

Qualifications
Diploma or post-secondary education in accounting, business administration, finance, nonprofit management, or a related field, with a minimum of three to five years of progressively responsible related experience, or an equivalent combination of education and training.
