HVAC Project Coordinator

As we continue to grow, we’re looking for a motivated and detail-oriented Project Coordinator to join our team.

Position Overview:

The HVAC Project Coordinator will oversee and manage residential and commercial heat pump projects from start to finish. This role ensures seamless communication between customers, technicians, suppliers, and management while keeping projects on schedule and within budget. The ideal candidate is organized, proactive, and enjoys working in a fast-paced environment.

Key Responsibilities:

• Coordinate residential heat pump installation projects from scheduling to completion.
• Act as the primary point of contact for customers, providing updates and answering questions.
• Communicate daily with technicians to ensure projects are running smoothly.
• Order and track equipment, materials, and permits as required.
• Prepare and maintain project documentation, including schedules, work orders, and reports.
• Assist with troubleshooting scheduling conflicts and resolving issues that arise on projects.
• Support the management team with workflow planning and process improvements.
• Ensure all work meets safety standards, company procedures, and customer expectations.

Qualifications:

• Previous experience in project coordination, preferably in HVAC, construction, or trades.
• Previous experience using Jobber software an asset but not required.
• Strong organizational and time management skills.
• Excellent communication and customer service abilities.
• Proficient with scheduling tools, spreadsheets, and basic office software.
• Ability to manage multiple projects and deadlines simultaneously.
• Knowledge of HVAC systems or residential construction is an asset, but training can be provided.
