About the Unit The Assessment Operations unit is responsible for:logistical and administrative processes associated with the conduct and administration of VCE external assessmentsdevelopment, implementation and review of the VCE examination timetable and associated assessment schedulestraining and monitoring of sessional staff appointed to mark VCE external assessmentsmanaging the marking of externally assessed VCE assessments including the General Achievement Testdeveloping, managing the implementation and review of the VCAA Special Provision policy and procedures.

About the Division The Assessment Division is responsible for the delivery and reporting of all VCE external assessments and the National Assessment Program
- Literacy and Numeracy (NAPLAN).the development, delivery and marking of the General Achievement Test (GAT) the training of all casual staff appointed to participate in all Foundation to Year 12 assessment programs the marking of all VCE examinations, including written, performance and Languages oral examinationsmanaging the quality assurance and statistical moderation programs for VCE school-based assessmentsdigital assessment platforms, including the VCAA online scoring system (VOSS) collecting, maintaining and processing student enrolment data and assessment results for VCE external assessments.

Role Purpose As a Program Officer in Special Provision, you will assist with implementing and reviewing a range of processes that enable the delivery of the VCAA's Special Provision program, including Special Examination Arrangements applications, Derived Examination Score applications and General Achievement Test exemptions.

You will work closely with team members and stakeholders to support the efficient, timely, and policy-compliant delivery of these services. Your day-to-day responsibilities will include:

Providing authoritative, policy-informed advice to schools, students, parents, and other stakeholders

Responding to enquiries via phone and email in a professional and timely manner

Undertaking administrative and business tasks to meet program objectives and timelines.

Contributing to process improvement initiatives to enhance Special Provision program delivery.

Qualifications and Experience Essential:

Demonstrated experience in general administration, including phone support and managing enquiries

Strong written communication skills and attention to detail in record-keeping and correspondence

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
Desirable:

Experience or familiarity with the following will be highly regarded:

Raising purchase orders, processing invoices, and applying procurement policies and procedures

Using IT tools to support administrative tasks, including:

Mail merges and Excel formulas

File management systems such as SharePoint or other collaborative platformsA willingness to learn, along with the initiative to explore and adopt new technologies or solutions independently, will be highly regarded.
