Job Description

Assists in supporting the day-to-day operations of the Region 3 Marketing and Communications (MAC) Department. Provides clerical, organizational, and communication support for print, digital, and internal/external communication efforts. Print Support will include preparing documents for copying and/or printing, assembling printed materials, and additional clerical duties for the Print Shop including record keeping and package/mail check-in and sorting/delivery.

Minimum Qualifications
  • High school diploma or equivalent
  • Basic proficiency in Microsoft Office and/or Google Workspace
  • Preferred: experience in an office, clerical, or communications-related role
  • Preferred:
    Associate’s Degree
Knowledge, Skills, and Abilities
  • Effective organizational, communication and interpersonal skills including a customer service mindset and professionalism
  • Basic proofreading and formatting skills
  • General knowledge of computer operations and software applications
  • Ability to manage multiple tasks and prioritize effectively
  • Ability to complete a high volume of tasks and projects with little or no guidance
  • Strong attention to detail and organization
  • Ability to follow written and verbal instructions
  • Ability to handle confidential information with discretion

    Adaptability and ability to respond to changing needs
  • Perform other duties as assigned by the Communications Coordinator
Essential Functions
  • Help provide completed printing jobs as they are requested in a timely, efficient, and accurate manner
  • Work collaboratively with internal and external stakeholders via phone, email, and in person
  • Draft, format, and proofread basic communications (emails, memos, newsletters)
  • Provide clerical support including filing, record keeping, and document organization
  • Assist with preparing and distributing printed and digital materials
  • Operate specialized equipment for printing & finishing requests including but not limited to binding, laminating, trimming, cutting, hole-punching, and stapling
  • Prepare external jobs for delivery and contact internal and walk-in customers for job pick-up
  • Maintain organized records, communication logs, reports, and correspondence
  • Document and manage incoming and outgoing packages, mail, and shipments and ensure delivery to appropriate staff
  • Support website updates and social media posts as needed
  • Assist with event communications, materials, and coordination
  • Ensure timely and accurate completion of assigned tasks
  • Maintain confidentiality of sensitive information
Preferred (But Not Required)
  • Experience with Canva or basic graphic design
  • Familiarity with social media platforms
  • Basic website editing experience
  • Basic experience with specialized equipment for printing & finishing
  • Experience working with print software such as Fiery or Print Commander
