The Human Resources Assistant serves as the first point of contact for the HR Department, providing customer service and administrative support to employees and visitors. This position supports a variety of HR functions, including employee records management, HRIS data entry, employment verifications, licensure tracking, onboarding support, and employee recognition programs. The HR Assistant helps ensure accurate processing of personnel records and contributes to the efficient delivery of human resources services throughout the organization.
JobSpecific:
- Manage the reception area, answering, screening, and directing phone calls, emails, mail, and welcoming and assisting visitors. (EF)
- Provide front line support for employee inquiries regarding general HR policies, procedures, and forms, referring specialized or higher scope questions to appropriate HR staff. (EF)
- Coordinate HR conference room reservations, department meeting minutes, and records.
- Process incoming and outgoing department correspondence, including mail, faxes, and paperwork. (EF)
- Maintain adequate inventory of all office supplies. (EF)
- Maintain employee parking records and related documentation. (EF)
- Prepare check requests and purchase order requests. (EF)
- Complete employment verifications. (EF)
- Process approved payroll and personnel record changes within the HRIS, verify supporting documentation, and maintain accurate employee data. (EF)
- Follow record retention guidelines and file paperwork in a timely manner. (EF)
- Track licensure and certification renewal requirements and maintain related records. (EF)
- Facilitate employee recognition programs and events (e.g., retirement celebrations and Employee of the Month recognition). (EF)
- Prepare recruitment, onboarding, and benefits related materials.
- Provide administrative support for employee leave, workers' compensation, and incident reporting processes.
- Serve as backup support for new hire onboarding, as needed.
- Adheres to organization-wide and other applicable policies and procedures.
- Day-to-day performance complies with the hospital's Service Excellence Behavioral Expectations.
- Performs within the prescribed limits of the hospital's Ethics, Compliance and Confidentiality Program guidelines.
- Performs within professional Scope of Practice at all times.

High school diploma or equivalent Preferred:
Some college EXPERIENCE
Required:
At least one (1) year of human resources experience or two (2) years of administrative, secretarial, or clerical office experience Preferred:
Experience in human resources SPECIAL
SKILLS AND ABILITIES
Required:
Excellent verbal and written communication skills; excellent interpersonal and customer service skills; ability to handle sensitive and confidential information with discretion; ability to multitask and adapt to interruptions; proficient in Microsoft Office Suite to include Outlook, Word, Excel, PowerPoint, and Teams; excellent organization skills and attention to detail; basic understanding of clerical procedures and systems such as recordkeeping and filing; ability to work independently.
Experience with UKG or other Human Resources Information Systems (HRIS) and payroll systems. COMPANY PROFILE
