Overview

This role makes a real difference to how people experience care, every single day.

As a Customer Service Officer, you are often the first point of contact for clients, visitors and staff, and your consistently positive and welcoming presence sets the tone for their experience. You greet people with warmth and professionalism, provide friendly and non‑judgemental support, and handle all interactions with care, discretion and confidentiality.

This role works across multiple Ballarat Community Health sites and requires flexibility to move between locations based on daily service needs. Some days you will be front‑facing, welcoming people at reception, while other days may be primarily phone‑based, supporting clients through bookings, enquiries and follow‑up.

Customer Service Officers are integral to how our organisation works. Your knowledge and support does not just help clients navigate their care, it also supports clinicians and teams to do their best work. You are the connector, the problem solver, and often the calm and reassuring presence in a busy moment.

This role will suit someone who enjoys working as part of a strong team and values structure, routine and getting things right. Much of the work involves managing bookings, enquiries and systems using clear processes that ensure care runs smoothly, safely and consistently. The impact is felt in the confidence and reassurance people experience when things work as they should.

What you will bring to the team

  • Bring a friendly, calm and professional approach to every interaction, whether welcoming people in person or supporting them over the phone
  • Have strong attention to detail, clear communication skills and the ability to follow established processes
  • Maintain a respectful, non‑judgemental and confidential approach at all times
  • Stay calm under pressure, manage competing priorities well, and take pride in being reliable and dependable
  • Are adaptable and flexible, able to work across different sites and adjust to daily priorities

Experience in a customer service or administrative role, ideally in a busy office or health setting, is highly regarded.
