Billing Operations Manager

Avicenna Accounting Automation Inc. is a growing CPA and advisory firm providing tax, accounting, bookkeeping, payroll, and CFO services. We are looking for an experienced Billing & Operations Manager to oversee our billing operations, client accounts, CRM management, SaaS software implementation, and operational workflows.

• Manage all client billing and invoicing.
• Monitor accounts receivable and outstanding client balances.
• Contact clients regarding unpaid invoices and payment arrangements.
• Set up new clients with engagement letters, payment plans, and ACH Auto Pay.
• Maintain and update client information within the firm's CRM.
• Work with collection agencies on delinquent accounts.
• Assist with implementing and managing SaaS software solutions.
• Work closely with management to ensure software and workflows are functioning accurately.
• Help maintain and optimize Sage Intacct.
• Identify opportunities to improve operational efficiency and automate processes.
• Scan, organize, upload, and properly rename client documents.
• Generate billing, collections, and accounts receivable reports.
• Work closely with the tax, bookkeeping, payroll, and accounting departments.
• Assist with operational projects and process improvements.

• 3+ years of experience in billing, operations, office management, or practice administration.
• Experience working with SaaS platforms and cloud-based software.
• Strong understanding of CRM systems.
• Experience managing client billing, collections, and accounts receivable.
• Experience setting up ACH Auto Pay, recurring payments, and payment plans.
• Excellent communication and customer service skills.
• Highly organized with strong attention to detail.
• Ability to manage multiple priorities in a fast-paced environment.

• Experience with Sage Intacct.
• Experience working in a CPA, accounting, or professional services firm.
• Knowledge of accounting and bookkeeping workflows.
• Experience implementing business software and improving operational processes.
