Secretary ll – Assessment & Admissions PersonnelSECRETARY II – Assessment Assistant & Admissions Desk

Vincennes University is seeking qualified applicants for a combined position of Secretary II in the Institutional Effectiveness and Admissions. This is a full-time, 12-month, support staff position.

IE/Assessment Primary Functions:

This position serves the institution in developing systematic assessment and improvement systems and satisfying the Higher Learning Commission’s accreditation expectations. It also
addressed the needs of the Admissions Department Desk Personnel. This at times may provide limited support for the institutional research office and other duties as assigned.
The person selected for the position must be willing to develop an understanding of admissions processes, assessment and accreditation. This person should be willing and able
to assist the Directors as well as assist faculty, and staff with their assessment, institutional research and accreditation needs.

IE Responsibilities of the position will include, but not be limited to, the following:
  • Inputting assessment reports and other assessment and accreditation information on the Institutional Effectiveness (IE) website and data systems.
  • Assisting the Director, faculty, and staff with the development of assessment studies and reports, as needed.
  • Assisting with the preparation and delivery of accreditation documents and Institutional Research processes.
  • Using the data systems such as Banner and Weave to help collect demographic and other data.
  • Fielding requests for reports and data, obtaining the information as requested, and distributing the information to faculty, administrators, or others, as requested.
  • Assisting with organization, set-up, and delivery of presentations by internal and external speakers.
  • Processing purchase orders and payments on the Banner Financial system.
  • Preparing travel requests and final travel vouchers, purchase orders invoice vouchers, charge purchase orders as needed.
Admissions Primary Function:

The successful candidate’s primary responsibilities include, but are not limited to the following: providing exceptional customer service to guests, main point of contact for all in- bound calls, working closely with other part-time secretaries on record keeping, and providing administrative support to the admissions staff as well as the Director of Admissions.

The Secretary will perform duties related to the operations of the Admissions Office.

Duties/Responsibilities:
  • Prepare and maintain admission documents
  • Check-in/assist daily campus visitors
  • Maintain historical records
  • Proficiency with Microsoft Office software and electronic office equipment
  • Exemplary written and verbal communication skills
  • Ability to juggle multiple tasks and responsibilities at once
  • Ability to work in a fast-paced environment
  • Experience with Slate CRM and Banner Duties:
Physical Demands:

Normal physical demands for successful work in a normal office environment. Ability to sit
or stand for extended periods. Ability to utilize hands for general office work including
typing, filing, answering telephones, and writing.

A minimum of three years of secretarial experience are required. Preference will be given to candidates with a bachelor’s degree or equivalent management-level secretarial experience.
Applicants must have excellent typing skills, strong organizational skills, and a working knowledge of Microsoft Word, Excel, Adobe and email with a willingness to learn new systems and processes. Abilities to work independently, to be adaptable, to meet deadlines, and to think creatively in what is periodically a high-stress office environment are essential.
Applicants must be personable, possess excellent interpersonal communication skills, be able to work with a diverse population, have outstanding writing and editing skills, and have a clear understanding of, or willingness to learn, organizational structure and University policy. A valid driver’s license.
