About the RoleThe Pantheon Experience Manager owns the day-to-day experience of The Pantheon. This person is the face of the building for members, visitors, prospective members, event guests, community partners, and vendors.
This is a hands-on role combining hospitality, events, facility operations, tours, administrative support, and member experience. We're looking for someone who notices what needs to be done and takes ownership of getting it done.
Key ResponsibilitiesMember & Guest Experience
- Welcome members, visitors, guests, vendors, and community partners
- Answer the Pantheon phone and respond to general inquiries
- Help members with day-to-day questions and needs
- Coordinate new member arrivals, introductions, and onsite orientation
- Keep member-facing areas welcoming, organized, and ready for use
- Conduct tours for prospective members, businesses, and community partners
- Explain coworking, private office, meeting, and event options
- Maintain awareness of available offices and reservable spaces
- Follow up with prospects and support membership onboarding
- Own onsite event logistics from setup through reset
- Prepare rooms, seating, signage, AV, supplies, food, and beverages
- Welcome event guests and coordinate vendors
- Ensure spaces are cleaned, reset, and ready for the next use
- Maintain coffee, beverages, snacks, kitchen supplies, and hospitality inventory
- Coordinate food orders for meetings and events
- Keep kitchens and common areas clean, stocked, and presentable
- Monitor and reorder supplies as needed
- Complete daily walkthroughs of offices, coworking areas, meeting rooms, kitchens, restrooms, event spaces, and entrances
- Identify maintenance, cleaning, access, safety, or appearance issues and coordinate solutions
- Manage day-to-day relationships with cleaning, maintenance, and facility vendors
- Maintain keys, access information, signage, furniture, supplies, and room readiness
- Coordinate opening, closing, deliveries, mail, trash, room resets, and other onsite routines
- Escalate urgent building issues when necessary
- Support the Executive Director with scheduling, coordination, follow-up, and administrative tasks
- Maintain member and contact information and help keep records organized
- Coordinate reservations, calendars, vendors, service providers, mail, and deliveries
- Assist with invoices, documentation, basic office administration, and recurring operational tasks
- The Pantheon is welcoming, clean, organized, stocked, and ready every day
- Members know who to contact when they need something
- Prospective members receive strong tours and timely follow-up
- Events run smoothly and spaces are reset quickly
- Facility issues are identified early and resolved
- The Executive Director can focus on growth, partnerships, fundraising, and strategy
We're looking for someone who loves working with people and creating a great guest experience. You should be organized, dependable, proactive, comfortable working independently, and willing to take initiative.
You'll need to comfortably move between giving a member tour, setting up an event, completing an administrative task, and handling a facility issue. Strong communication and follow-through are important, along with comfort using email, calendars, documents, and basic business software.
Helpful experience includes hospitality, events, office management, coworking, executive assistance, customer service, or facility operations.
