Role Overview

The District Finance Coordinator at the Indiana Department of Transportation reports directly to the District Finance Assistant Director and is responsible for a variety of finance-related duties detailed below.

  • Serve as the District Superuser for Pay Wise: manage, authorize and troubleshoot Pay Wise transactions; develop and deliver Pay Wise training for district staff.
  • Act as District Travel Coordinator & Trainer: advise on travel bookings/reimbursements, interpret IDOA travel policies, and resolve complex travel exceptions in coordination with Central Office.
  • Act as Employee Reimbursement Coordinator: monitor all employee reimbursements for program compliance, authorize transactions in Pay Wise or People Soft.
  • Invoice/workflow monitoring & escalation: monitor invoices through Pay Wise workflow, escalate blocked or exception items, and coordinate resolution with Central Office Finance.
  • Code district invoices based on knowledge of budgets, POs and historical account usage.
  • Perform any other duties assigned to help achieve INDOT's goals and fulfill our mission.

The ideal candidate should possess practical knowledge in accounting fundamentals, understanding of month-end processes, and account reconciliations with the ability to identify and resolve complex account discrepancies and produce audit-ready work. The candidate should translate policies and system details into clear training and guidance, de-escalate and resolve travel and finance issues, and maintain effective relationships with district staff, Central Office, and external partners.

Statement

The salary for this position traditionally starts at $42,900.00 but may be commensurate with education or work experience.

A Day in the Life

The essential functions of this role are as follows:

  • Advise the supervisor of the status of all accounts.
  • Assist management in the preparation of agency or program area budget requests.
  • Develop and recommend implementation of new accounting methods and procedures pertaining to this position’s area of responsibility.
  • Advise program staff on accounting matters relating to specific program funding.
  • Assist in the development and maintenance of general policies for a fiscal program.
  • Coordinate use of the computerized accounting system for the program area.
  • Certify the accuracy of financial records and accounts.
  • Analyze and interpret financial statements and reports.
  • Control the flow of appropriated funds.
  • Reconcile complex discrepancies between accounts.
  • Interact with, and respond to, state and federal audit representatives.
  • Make necessary adjustments to close books.
