Your Role
The Administrative Assistant will support a wide variety of general office activities, document preparation, and administrative coordination to help keep the office running smoothly. This role serves as a central point of contact for office support, providing information, answering questions, troubleshooting issues, and responding to requests from coworkers and visitors. The ideal candidate is a proactive problem solver with excellent communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced office environment.
The successful candidate will be able to work independently with minimal guidance, follow directions and written instructions, and collaborate effectively with coworkers and project staff.
- Provide front desk coverage by greeting and directing visitors and delivery personnel, answering and forwarding calls via Teams as needed, and managing incoming and outgoing mail and shipments.
- Maintain a clean, organized, and professional office environment, including the kitchen and cafe area, and contact building management regarding maintenance issues.
- Prepare and format basic office documents, correspondence, and reports.
- Create and maintain tracking sheets, spreadsheets, and other simple office records.
- Update and edit slide decks and other presentation materials as needed.
- Conduct activities in line with internal procedures, legislation, and industry standards.
- Pursue continuous professional development and maintain a high degree of discipline, knowledge and awareness.
- Work in a safe manner at all times and report all health and safety incidents and concerns.
- Additional duties as required.
- High school diploma or equivalent required.
- Proven administrative or receptionist experience required.
- Strong time management and multitasking skills required.
- Exceptional organizational, communication, and interpersonal skills required.
- Ability to learn new software and systems required.
- Basic proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Teams, and Adobe Acrobat required.
- Experience creating tracking sheets, updating slide decks, and supporting general office tasks preferred.
- Ability to work independently and as part of a team required.
- Strong attention to detail and excellent proofreading skills required.
- Candidate must be a U.S. Citizen due to the projects they will be working on.
